To record an interview, first explain what you plan to record and how it will be used, then obtain informed consent before you press Record. Choose a quiet setting, test your audio with a short sample, monitor the recording as you talk, and store the file securely afterward. A smartphone is enough for many audio-only interviews; video and remote calls need additional camera, software, and connection checks.
1. Decide what you need to capture
Work out whether you need speech only, video, a transcript, or clips for later use. The answer affects your equipment and setup: audio-only recording can be simple, while video or a remote call also calls for camera, framing, lighting, software, and connection checks.
Before the interview, decide who will be able to access the recording, where it will be stored, whether it will be shared, and when it will be deleted. Interviews may contain personal or identifying information, so collect only what the project needs and tell participants the intended use.
2. Prepare questions that leave room for answers
Make a flexible outline of topics and open-ended prompts, not a script that forces the conversation into a fixed sequence. Ask questions that let the participant answer in their own words, then listen and follow up when a term needs clarification or an example would help. Oral-history guidance from the U.S. National Park Service emphasizes respectful listening and giving the narrator room to tell the story.

- Keep your questions brief and focused on one idea at a time.
- Allow pauses; do not rush to fill every silence.
3. Choose a recording setup and location
Pick a quiet, comfortable place where the participant can speak freely. Reduce avoidable noise—such as fans, alerts, or nearby conversations—and arrange the recorder so you can check it without constantly interrupting eye contact.

These are options, not prerequisites. For an external microphone, the American Library Association guide suggests starting about one hand span—around 5 inches—from the speaker’s mouth and minimizing handling movement. Treat that as practical starting advice, not a universal microphone specification; test the actual setup and listen back.

For a video call, test the software and connection before the participant joins. Job-interview guidance from the UK National Careers Service includes checking the microphone and software, charging devices, finding a quiet, well-lit place, and positioning a computer camera at eye level. Eye-level framing is useful in that context, but it is not a requirement for every kind of interview.
4. Get informed consent before recording
Explain what will be recorded, why you are recording, who may use or hear it, and any relevant confidentiality, sharing, retention, or withdrawal terms. Ask for consent before recording and keep evidence of it in a form suitable for your project. GOV.UK user-research guidance says to obtain informed consent before taking notes or starting a recording; that guidance applies to its user-research setting, not as a universal legal rule for every interview.

Consent and recording requirements vary by jurisdiction and context. Check applicable law, institutional rules, and participant agreements for your situation. A sample line for a research call is: “With your permission, I would like to record this call. The recording will only be used to help us figure out how to improve the site, and it will not be seen by anyone except those working on this project.” Adapt the explanation honestly to your project; that example is not universal legal consent wording.
5. Set up and test before the interview
- Power and storage: Charge or power the device, confirm there is room to save the file, and check any cables or microphone connections.
- Open the recording controls: Make sure the intended recorder or call software is ready and that you know how to start, pause, and stop it.
- Record a short sample: Have someone speak at a normal volume from the expected position.
- Play it back: Listen through headphones if available. Confirm speech is intelligible and check for hum, clipping, handling noise, or other distractions. Adjust placement or surroundings and test again if needed.
- Check video or remote details: Preview the camera and framing, verify lighting, microphone input, connection, and recording controls, then confirm that the sample plays back correctly.
6. Start clearly, then monitor the conversation
At the start, state only the identifiers appropriate to the project—such as the date, location, or project title—and capture verbal consent if that suits your process. Avoid recording unnecessary personal details, especially in sensitive interviews. Confirm that the device is recording, then keep an eye on it and check the audio periodically without disrupting the conversation.

Follow your outline while staying responsive to what the participant says. Ask follow-up questions when an answer is ambiguous or a concrete example would be useful. The interviewer’s job is to listen more than they speak and to make room for the participant’s account.

Thank the participant and explain any agreed follow-up. Store the recording and consent record securely, limit access to people who need it, and use the material only as agreed. Before wider use, review it for confidential or identifying details. If your process calls for it, remove copies from personal devices after confirming that a secure transfer succeeded.

Common problems and practical fixes
- The file is silent or missing: Verify the selected microphone and recording controls before the interview. Make a fresh test recording and play it back rather than relying on an on-screen timer.
- Speech is hard to understand: Move to a quieter place, reduce distance from the microphone, check connections and input selection, and record another sample.
- There is distracting handling or background noise: Stabilize the recorder or microphone, avoid touching it while speaking, and turn off avoidable noise sources.
- Remote audio or video breaks up: Test the connection and playback in advance; if it is unreliable, agree on a practical alternative with the participant before beginning.
- The participant is unsure about recording: Pause and explain the purpose, use, access, and relevant terms. Do not start recording until consent is clear.
- A file contains sensitive information: Restrict access, review it before sharing, and follow the project’s retention and deletion plan.
