Before announcing a public documentary screening in Bulgaria, obtain written permission for the specific film and ask the National Film Center whether registration or another administrative step applies to your organization and event. Then confirm the venue, authorized screening format, subtitle arrangements, and audience logistics. A nonprofit or educational purpose alone should not be treated as permission to show a film publicly.
Start with the film and the screening you want to hold
Make a short event brief before contacting a distributor, producer, rights holder, venue, or public authority. The more precisely you describe the plan, the more useful their answers will be—and the less likely you are to agree to terms that do not cover the actual event.
- Film title and, if known, the Bulgarian distributor, producer, or other rights holder.
- Proposed date, start time, and named venue in Bulgaria.
- Whether the event is one-off or recurring, and the organization hosting it.
- Expected audience and whether attendance is open to the public, members, invitees, or a defined group.
- Whether you plan to charge admission, invite donations, seek sponsorship, or show the film free of charge.
- Whether you need Bulgarian subtitles or another language or access arrangement.
- The screening format you expect to use, such as a supplied file or another format authorized by the rights holder.
These details matter because permission is title- and event-specific. A license for a private viewing, a different territory, another date, or a different kind of event may not cover a public community screening in Bulgaria.
Get written screening permission before promotion
Identify the distributor or rights holder for the chosen film and request written authorization for the planned public screening. Bulgarian copyright law includes rights relevant to film exploitation and public use. The provisions surfaced in the APIS legislation database include film-related rights and a limited provision concerning presentation or performance in educational institutions subject to conditions. That provision is not a general license for a community organization. If the rights holder’s response or the law’s application to your event is unclear, obtain qualified legal advice rather than assuming an exception applies.

Ask for terms that match the actual event
In your request, describe the event briefly and ask the rights holder to confirm each of these points in writing:
- Permission for a public screening in Bulgaria on the proposed date and at the named venue.
- Whether the authorization covers your kind of community or nonprofit event.
- Whether charging admission, collecting donations, or accepting sponsorship changes the fee or other terms.
- The permitted screening format and any technical restrictions, including limits on copying, storage, or playback if applicable.
- Whether Bulgarian subtitles are supplied and, if not, whether translating, editing, or displaying subtitles made by someone else is permitted.
- Any required credit, approved publicity materials, reporting, attendance information, or post-event obligations.
Do not treat a verbal assurance, a consumer streaming subscription, or permission to possess a copy as confirmation that a public screening is authorized. Keep the written approval and the final terms with the event records, and share any operational restrictions with the venue or playback operator.
Do not announce details that are still unconfirmed
Wait to promote the date as a confirmed screening until you have permission for the film and know what conditions apply. If the rights holder has not confirmed subtitle availability, the authorized format, or the status of admission and donations, leave those claims out of the announcement until they are settled. If the proposed film cannot be cleared for the date or terms you need, choose another film or revise the event plan before advertising.
Ask the National Film Center whether registration applies
A Bulgarian government administrative-service listing describes registration for persons carrying out film screenings in Bulgaria. It identifies the National Film Center as the responsible administration, cites Article 19(1)(3) of the Film Industry Act, and lists a three-day service period. The existence of that service does not, by itself, settle whether a particular one-off community screening must register. The information available here does not establish a different rule for a no-admission, nonprofit event compared with recurring or commercial screenings.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesAsk the National Film Center about your specific plan rather than relying on an assumption about the organization’s nonprofit status, the event’s size, or whether you collect money. Include the organization’s status, venue, frequency, audience, and whether admission, donations, or sponsorship are planned. Ask whether registration or any other administrative step applies, what documents or forms are needed, and when they must be submitted. The three-day period is the service period stated in the government listing; it should not be treated as a guarantee of approval by a particular event deadline or as the time organizers need to prepare their application.

The National Film Center’s Unified Public Register page lists registers for distributors, producers, persons carrying out screenings, cinemas, and film productions, and provides application forms including one for screening entities. Its About Us information describes support for festivals and screenings and cooperation on copyright and related rights in the film industry. These official resources can help you identify relevant registers and forms, but your event-specific question still needs an answer based on the actual plan.
Choose and confirm the venue
After the event outline is clear—and preferably while permission and administrative questions are being resolved—contact venues about practical suitability. A room that fits the expected audience is not necessarily suitable for a film: light, sightlines, sound coverage, setup time, accessibility, and operator support all affect whether people can follow the screening.
Check the room, not just the booking calendar
- Capacity and layout: Ask for the usable seated capacity in the proposed layout, not only the room’s maximum standing capacity. Check that late arrivals can enter without obstructing the screen or other viewers.
- Access: Ask about step-free entry, accessible seating and routes to the screening area, toilets, and any access arrangements your audience may need. Confirm specifics with the venue rather than assuming that a general description guarantees a particular accommodation.
- Light and sightlines: Find out whether the room can be darkened enough for the projected image to remain clear. Check that seats have an unobstructed view and that the screen or projection surface is appropriate for the room.
- Sound: Ask how sound reaches seats at the back and sides, whether the playback system is included, and who can adjust it during setup. Dialogue-heavy documentaries are difficult to follow when speech is uneven or unclear.
- Setup and support: Confirm access time, setup time, the person who will open the room, and whether a staff member or operator will be available. Clarify what the booking includes rather than assuming that equipment or technical help is part of the room hire.
- Arrival and discussion space: Check where people will queue, wait, and gather after the film. If you plan a discussion, establish whether the room can be reset or whether you need a separate space.
Decide whether venue equipment is enough
Ask the venue first whether suitable projection and sound equipment are included. If not, compare using another venue with built-in equipment against renting or bringing equipment. The choice depends on the room’s brightness, audience size, screen size, sound coverage, available operator support, setup time, and the complete cost—not just the price of a projector. A projector is only a possible solution if the venue’s system is unsuitable; it does not solve poor sound, excessive ambient light, an inadequate screen, or a lack of setup support.
Before committing to a rental or bringing equipment, ask the venue what connections and playback arrangements it can support and who is responsible for setup. Make sure the format you plan to use is the format the rights holder has authorized. Do not buy or rent equipment based only on a description of the film file or an assumption that the room has compatible connections.
Settle subtitles and other language access
Ask the distributor or rights holder whether the authorized version includes Bulgarian subtitles, and verify that the copy or file you will receive actually has them. If subtitles are not supplied, ask whether you may commission, create, edit, translate, or separately display them. Permission to screen the film should not be assumed to grant permission to alter the work or add a separate subtitle track.

- Intuitive and Precise Control: Our projector comes with an advanced Air Mouse remote that combines a traditional remote and mouse into one, offering seamless navigation and precise pointer control. It supports voice commands for hands-free adjustments.
Confirm the subtitle language and delivery format with both the rights holder and the playback operator. A statement that “subtitles are available” is not enough for planning if the subtitle file cannot be used with the authorized version or the venue’s playback setup. Arrange a complete test of the authorized film and subtitle configuration before the audience arrives.
For promotion, state only language and access information you have verified. If a subtitle arrangement is still under discussion, avoid promising Bulgarian subtitles. Ask the venue and intended audience about other relevant access needs early enough to determine whether the room and event plan can accommodate them; the available official materials do not establish which access arrangements a particular venue provides.

Build an event plan around the license terms
Once rights, registration questions, venue, and language arrangements are being resolved, turn them into one working event plan. Keep the confirmed screening conditions visible to the people handling invitations, payments or donations, playback, and discussion facilitation. A change to venue, date, admission arrangement, or subtitle use may affect the permission you obtained, so check with the rights holder before treating a change as merely logistical.
Admission, donations, and sponsorship
Decide whether the event is free, ticketed, donation-based, or supported by a sponsor, then make sure the rights holder’s written terms cover that arrangement. If the authorization sets limits or conditions, pass them to anyone managing the door or collecting money. Do not describe a donation as unrelated to the event if the arrangement is, in practice, a condition of entry; ask the rights holder how the proposed setup should be handled.
Promotion and invitations
Use only approved publicity materials where the rights holder requires them, and follow any credit instructions. Include the confirmed date, venue, start time, entry terms, film title, and verified language information. If the event is intended for a defined audience, explain who may attend and how to reserve a place. Avoid using artwork, clips, or stills unless you have permission to use them for publicity.

Arrival, seating, and discussion
Decide who will welcome attendees, manage the entrance, direct people to accessible seating, and communicate any practical room information. If the film will be followed by a discussion, appoint a facilitator and decide how questions will be handled. Tell the facilitator the planned length and format so the discussion does not delay a venue handover or conflict with the screening authorization’s conditions.

Plan refreshments, photography, recording, or audience feedback only after checking venue rules and any relevant permission terms. Do not assume the screening authorization also permits recording the film, capturing audience members, or publishing photographs. If collecting feedback, explain how it will be used and avoid gathering information that is not needed for the event.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Test the full setup before doors open
Arrange a technical check in the room before the audience arrives. Test the actual authorized file or format, the projector and screen, sound from different seating areas, and the complete subtitle configuration. A successful test on a laptop or in another room is not proof that the venue setup will work.
- Confirm that the playback copy is the one authorized for the event and that the operator knows any restrictions on its use.
- Play the beginning of the film and check the image, aspect and framing, focus, and visibility from seats around the room.
- Check dialogue and other important audio from the front, back, and sides of the audience area; adjust the system with the venue operator if needed.
- If subtitles are part of the screening, confirm that they appear at the right time, are readable from the room, and remain synchronized during playback.
- Agree who will start and stop playback, how late arrivals will be handled, and whom to contact if a technical problem occurs.
- Keep a backup plan consistent with the rights holder’s terms, such as a venue-supported technical contact or a revised start time. Do not make unauthorized copies or switch to an unapproved source as a workaround.
If the authorized format will not play, subtitles fail, or sound cannot be made intelligible, pause and resolve the issue with the rights holder or venue rather than improvising with an unapproved copy or configuration.
Close out the event responsibly
After the screening, complete any reporting or other follow-up the rights holder specified. Return or delete files if the license requires it, and keep a record of the authorization, the final event details, and any required correspondence. If the event did not take place as approved—for example, the venue or date changed—ask the rights holder what to do before reusing the permission for a future screening.

Questions organizers commonly ask
Do I need a license to screen a documentary for a community group?
Obtain written permission for the planned public screening from the relevant distributor or rights holder. A community or nonprofit purpose does not, on the information available here, establish a blanket exception. The rights holder should confirm that the date, venue, audience, format, subtitles, and admission or donation arrangement are covered.
Does a one-off nonprofit screening need registration in Bulgaria?
The government service listing establishes that a registration service exists for persons carrying out film screenings in Bulgaria, but it does not resolve whether a specific one-off, no-admission, nonprofit event must use it. Ask the National Film Center about the event’s actual circumstances, including the organization, venue, frequency, audience, and money collected.
Where can I find Bulgarian subtitles for a documentary?
Start with the film’s distributor or rights holder and ask whether Bulgarian subtitles are supplied for the authorized screening version. If they are not, request permission before commissioning, translating, editing, or separately displaying subtitles; availability and permitted use vary by film.
