If someone is using a profile or posts that could be mistaken for you, save the account details, direct links, screenshots, dates and a factual incident log before asking for removal. Keep the original evidence unchanged where practical, then report the account through the platform and save the confirmation. Reporting rules and access to account records differ by platform and location; there is no single process that applies everywhere.

What to save when someone impersonates you online

Build a record that lets another person understand what appeared, where it appeared, when it happened and how it may relate to you. Do not rely on a single screenshot or a bare link if you can preserve the wider context. For each post or incident, capture:

  • Platform or service: Name the social network, messaging service, website or other place where the material appeared. This helps distinguish one incident from another when similar material is copied across services.
  • Account identifiers: Record the username or handle, profile URL and any visible account ID for the account you believe is impersonating you. A display name alone may not distinguish one account from another, so include the handle and profile link where available.
  • Content location: Copy the direct URL to each post, message, profile or other item, if one is available. Save the profile URL as well as the link to the particular item; they identify different parts of the record.
  • Visual record: Take screenshots, photos or a screen recording that show both the account or profile and the material. A screenshot that only shows a post without its account context may be less useful.
  • Dates and times: Note when you found the material and, if shown, when it was posted or sent. Include the time zone when you know it. Keep discovery time distinct from the posting or receipt time displayed by the service.
  • Factual description: Briefly state what happened, how the material was shared and who may have seen it or been contacted. Separate what you observed from what you suspect; do not present an unknown account operator’s identity as fact.
  • Pattern and context: Keep a dated log of repeated activity, how often it occurred and other relevant context. One isolated post may not show the full pattern.
  • Reporting record: Save copies or confirmation numbers for platform reports, and keep any replies or decisions you receive.

These are the kinds of details identified in guidance from the Singapore Online Safety Commission and the Australian eSafety Commissioner. Their procedures and eligibility rules are local, not universal. The useful principle for documentation is to make each item understandable on its own: identify the service and account, preserve the content, record when you encountered it and link it to the wider pattern if there is one.

How to document online impersonation and preserve evidence

  1. Copy the account and content URLs. Save the impersonating profile’s URL and a separate direct link for each relevant item. If an app does not show an address bar, use its share or “copy link” control. Record the date you collected each link. If there are several posts, keep a separate link for each rather than assuming a profile URL will lead a reviewer to all of them.
  2. Capture the visible account and material. Take a screenshot or screen recording that includes the profile or account identity alongside the impersonating content. If the link is private, restricted or likely to stop working, retain the visual capture with it. A reviewer may not be able to open a login-restricted or group-limited link. When possible, make the account context and the content visible together; if they cannot fit in one capture, preserve captures that clearly connect them.
  3. Write a dated, factual note. Record when you found the item and any posting or receipt time visible on the service. Describe what it shows and how it was distributed. Note possible viewers or people contacted only to the extent you know. Do not guess who is behind the account. If you do not know who saw it, say that you do not know rather than filling the gap with an assumption.
  4. Make a separate incident log and evidence folder. Arrange files by date or incident and keep the log with them. The Australian eSafety Commissioner advises moving screenshots out of a recent-shot album into a separate file, which can also reduce repeated exposure to distressing content. Keep originals unchanged where practical; make a copy if you need to add notes or mark up an image. A log entry can identify the service, account, item link, date found, visible post date, what happened and any report made. That way, repeated incidents can be read as a timeline rather than as a pile of unrelated captures.
  5. Preserve first, then report or request removal. Content may disappear after a platform report or removal request. Save the available evidence before taking that step if you may need to report to authorities or seek legal advice. The U.S. Department of State’s 10 FAM 350 guidance likewise says impersonation-related content should be preserved for possible platform or law-enforcement action. This is a reason to capture what you can before reporting, not a guarantee that a capture will satisfy every agency or legal process.
  6. Report through the platform and keep the receipt. Use the platform’s own reporting flow, save the submission confirmation and retain any response. Before filing with a local agency, check what evidence it requires. For example, Singapore’s Online Safety Commission requires evidence of a platform report for certain online harassment and stalking reports; that is a Singapore-specific requirement, not a worldwide rule. Keep the platform report record with the related incident rather than treating submission as the end of the documentation process.

A practical sequence is therefore: identify the profile, collect each content link, capture what is visible, write down the dates and context, file the evidence together, and then report. If a particular link is already unavailable, retain the capture and note that the link could not be opened; a URL and a visual record serve different purposes.

  • TV, simplified: With setup that only takes minutes, a simple-to-navigate Home Screen, and an uncluttered remote control that does all you need—Roku makes it easier to watch the TV you love.

Links and screenshots serve different purposes

Use both when possible. A URL connects the record to the live source and may help a reviewer locate public material. A screenshot, photo or screen recording preserves what was visible at the time and can show account context if the link later stops working or cannot be opened. Neither is a substitute for the other when a complete record matters.

Think of the link as a route back to the source and the visual capture as a record of what you saw. A public link may help a reviewer find the material, but a private, group-limited, login-restricted or deleted item may not be accessible through it. A screenshot may show the account and content, but without a link and dated note it may be less clear where and when the material appeared. Pairing them, when possible, gives a reviewer both the location and the visible context.

Evidence form What it can establish Limit to account for
URL to a profile or item Where public material appeared and how a reviewer might locate it. It may not work for private, group-limited, login-restricted or deleted content.
Screenshot, photo or screen recording What was visibly displayed, including the account or profile context if captured. It may not by itself show where or when the material appeared; pair it with the URL and dated log where possible.
Incident log and report receipt Timing, frequency, context and the steps taken to notify the platform. It complements, but does not replace, a capture of the content itself.

There is no need to choose one evidence form over the other: each fills a different gap. If the service provides a share or copy-link option, preserve the resulting link and still take a capture. If the content is not publicly accessible, the visual record can preserve what you could see, while the log explains the access limitation and when you encountered it.

Keep records safely and avoid altering originals

  • Keep original captures in a separate folder and use copies for annotations, cropping or explanatory labels.
  • Preserve relevant messages and account details together with their dates and links. Avoid editing the only copy of an image or recording.
  • Limit access to the folder to people who need it. Impersonation records can contain personal information about you and others.
  • Do not assume a link will remain available. X says content deleted by a user is generally unavailable and that some data may be held only briefly. Its described preservation route is for law-enforcement requests, not a user-facing preservation tool.

The practical limit is important: a platform’s law-enforcement preservation process is not necessarily something an ordinary user can invoke. X’s guidance describes preservation in response to law-enforcement requests, rather than a direct user tool for freezing another account’s records. That is another reason to save the material you can access yourself before it disappears, while avoiding the assumption that your own report will preserve every underlying account record.

Platform guidance about retention is not a promise that evidence will be kept for an ordinary user. Meta’s law-enforcement guidance says it preserves account records for 90 days for official criminal investigations pending formal legal process. That period is specific to Meta’s stated process; it is not a guaranteed retention period for every service or a way for an individual user to secure another person’s records directly. It is also a procedural detail, not a general statistic about how common impersonation is.

What you can and cannot get from a platform

A platform report may help the service assess or remove content, but it does not necessarily identify the person behind an account or give you access to that account’s private records. Disclosure of another user’s account information is governed by applicable law and legal process. If identifying the account operator or pursuing legal action is important, ask local authorities or a lawyer about the options in your jurisdiction.

Separate the goals of a report: asking a platform to review or remove content is not the same as asking it to disclose who controls an account or to provide private account records. Do not assume that reporting an impersonating profile will answer an identification question. The procedures for access to records depend on applicable law and legal process, and the reviewed sources do not establish one universal route. If you need records for an investigation or legal action, local authorities or a lawyer can advise what process may apply where you are.

The U.S. Department of State’s 10 FAM 350, amended September 2, 2026, includes guidance on social-media impersonations. Its indexed official excerpt says, “Content related to impersonators should be preserved for potential platform and/or law enforcement action.” The manual page itself was not available in the reviewed official material, so this wording should not be treated as a substitute for checking the current manual. The advice supports saving relevant material; it does not create a universal reporting procedure or guarantee that a platform or agency will take a particular action.

If the impersonation involved money or identity theft

When an account was used to obtain credit, goods, services or payment fraudulently, retain the records tied to the transaction as well as the online content. Depending on what exists, that may include transaction dates, account numbers, applications, invoices and statements. These documents can help keep the transaction details together with the impersonation record rather than relying only on a profile or message capture.

The U.S. Federal Trade Commission explains that businesses may have to provide relevant identity-theft transaction records to victims or law enforcement under specified conditions. That guidance concerns identity-theft transactions and does not establish a general right to obtain another person’s platform records. Its scope is specific: it is about relevant transaction records held by businesses, not a general rule giving someone access to private social-media account data.

See the FTC guidance on transaction records related to identity theft for its scope and conditions.

Do not save illegal material as evidence

Do not capture or store illegal or restricted material. The Australian eSafety Commissioner specifically warns against saving sexual images or videos of anyone under 18 and advises people not to take screenshots of illegal or restricted content, especially child sexual exploitation material. If such content is involved, seek help from the relevant authority rather than copying or forwarding it.

This caution takes priority over the usual recommendation to preserve screenshots. Do not create another copy of prohibited material in an attempt to document it. Follow the relevant authority’s advice instead. The broader evidence checklist is for material you can appropriately preserve; it is not an instruction to download, screenshot or redistribute illegal content.

For evidence-gathering guidance, see the Australian eSafety Commissioner’s “How to collect evidence” and the Singapore Online Safety Commission’s FAQ guidance. Their advice reflects their respective jurisdictions; a local agency may set different reporting steps.

Before you submit a report

  • Check that every link opens to the intended profile or item, if it is still available.
  • Make sure each capture shows enough account context to connect the content to the account involved.
  • Label dates and times clearly, including time zone when known, and distinguish posting time from the time you discovered the item.
  • Keep the incident log factual, dated and clear about what you know versus what you infer.
  • Save the platform report confirmation and any response with the rest of the record.
  • Check local reporting rules before submitting the material to an agency, especially where the content may be illegal or restricted.

As a final completeness check, make sure the record answers the basic questions a reviewer may have: which service was involved, which account and item you mean, what was visible, when you saw it, what you know about its distribution, whether there were repeated incidents and whether you already notified the platform. If any answer is unknown, state that plainly. A concise, factual record is more useful than a claim about the operator’s identity that the available evidence does not establish.

Frequently Asked Questions

How do I document online impersonation and preserve evidence?

Save the platform name, the account’s handle and profile URL, a direct link to each item, screenshots or a screen recording showing the account and content, dates and times, and a factual note about what happened. Keep a dated log of repeated incidents and save platform report confirmations and replies. Preserve what you can before requesting removal.

Should I save a link or take a screenshot?

Use both when possible. A URL can help locate public material, while a screenshot, photo or screen recording preserves what was visible and may show account context if a link stops working. Restricted, login-protected or deleted content may not be accessible from a link, so pair the link with a capture and a dated note where you can.

Should I report the account before saving evidence?

Save the available evidence first if you may need to report to authorities or seek legal advice, because content may disappear after a platform report or removal request. Then report through the platform and keep the confirmation and any response. Check your local agency’s requirements; Singapore’s platform-report evidence requirement for certain harassment and stalking reports is local, not universal.

Can I get the impersonator’s private account records from the platform?

Do not assume you can obtain another user’s private account data directly. Platform disclosures are governed by applicable law and legal process. If identifying the account operator or taking legal action matters, ask local authorities or a lawyer about options in your jurisdiction.

How long will a platform preserve account records?

There is no universal period in the reviewed guidance. Meta says it preserves account records for 90 days for official criminal investigations pending formal legal process; that is a specific process, not a guaranteed period for ordinary users or every service. X describes preservation in response to law-enforcement requests, not a direct user-facing preservation tool.

What if the impersonation was used for a fraudulent purchase, credit application or payment?

Keep transaction dates, account numbers, applications, invoices and statements along with the online evidence. FTC guidance says businesses may have to provide relevant identity-theft transaction records to victims or law enforcement under specified conditions. That guidance does not establish general access to platform records.

Can I screenshot illegal or restricted content to prove what happened?

Not always. The Australian eSafety Commissioner warns against saving sexual images or videos of anyone under 18 and advises against screenshots of illegal or restricted content, especially child sexual exploitation material. Seek help from the relevant authority rather than copying or forwarding it.

The Bottom Line

Save account and content links, context-rich captures, dates, a factual incident log and platform report receipts before content disappears. Keep originals unchanged where practical, do not copy illegal material, and check local reporting rules. Platform procedures and access to account records vary; a user report is not a guarantee of preservation or disclosure.
