Choose an AI image or a template
An AI generator gives you control through a written prompt. A template is a quicker starting point that you can customize with the room style and details you want. Canva describes both template customization and prompt-based AI image creation for virtual backgrounds: Canva. The best choice depends on how much control and editing you want; there is no established comparison here of output quality or tool pricing.
For a video call, choose a restrained scene: a bright home office, a calm bookshelf wall, or a simple desk with a plant. Keep the area behind your head and shoulders relatively uncluttered so the room does not compete with you on camera. These are composition suggestions, not platform requirements.
Write a prompt for a believable room
Use a prompt that specifies the camera angle, lighting, central space, and image shape. For example:

Create a realistic, professional home-office background for a video call, viewed straight on from webcam height. Show a tidy desk, a few understated books and plants, warm neutral colors, soft daylight, and a softly detailed room. Leave clear, uncluttered space in the center where a seated person’s head and shoulders will appear. No people, no text, no logos, no screen-within-screen, no dramatic perspective, 16:9 landscape composition.
Try variations such as modern, warm, minimal, or creative while keeping the camera angle and open center consistent. Inspect each result for misshapen objects, unwanted lettering, odd perspective, or distracting detail. Regenerate or edit a flawed image rather than assuming it is ready to use.

Export to the dimensions your app recommends
Image requirements differ by platform. Use the target app’s current guidance rather than treating one size as universal.

Export a supported image format and check the result at the size you intend to upload. If your app or account does not show a custom-background option, check its current help page and account or administrator settings before troubleshooting the image itself.

Upload and preview in the meeting app
Zoom
- Sign in to the Zoom desktop app.
- Open Settings > Video & Effects.
- Select a preloaded background or upload your image. Zoom also allows you to change the background from the video controls during a meeting. See Zoom’s virtual background instructions for current details.
Canva also describes enabling virtual backgrounds in the Zoom desktop client and adding a designed image: Canva’s virtual-background guide.
Microsoft Teams
Use the background controls in the Teams PC or Mac application to select or upload a custom image. Microsoft’s page explains the available background options: Change your background in Microsoft Teams meetings. Availability can vary with the app and account, so confirm the option is present before relying on it.

Check the result before joining
Preview the image in the actual call app and camera framing. Look for hair or shoulders that disappear, jagged edges, a room that seems to tilt or float, and text or logos that are distorted or unreadable to other participants. Canva recommends previewing virtual backgrounds, especially AI-generated ones, and fixing problems before joining a meeting: Canva’s guide.

Virtual backgrounds use the camera image to separate you from the physical scene. Microsoft describes Teams as using AI and the device camera to isolate the speaker’s silhouette and apply the new setting; behavior and requirements vary across platforms and devices. If edges look distracting, try these adjustments:
- Improve the lighting on yourself so your outline is easier to distinguish from the room.
- Move away from a busy physical background and avoid clothing close in color to the backdrop.
- Consider a solid-color backdrop, preferably green, as an optional aid. Canva recommends this for cleaner segmentation, but a green screen is not required to create or upload a background and cannot guarantee perfect edges. See Canva’s guide.
Troubleshoot common problems
- The image will not upload: Check that you are using an image format and dimensions accepted by the target app. Zoom’s listed guidance is 16:9 JPG/JPEG or PNG at a minimum of 1280 × 720; Teams recommends 16:9 at 1920 × 1080 or higher when possible.
- The custom-background control is missing: Confirm you are using a supported app version and account. Administrator settings can restrict Zoom virtual-background options. Zoom also requires virtual backgrounds to be enabled for its AI-generated background setting; see Zoom’s virtual background help and its AI background guidance.
- Hair, shoulders, or hands flicker or disappear: Preview under the lighting you will use in the call, simplify the physical scene behind you, and test a solid-color backdrop if needed. Do not assume a green screen is necessary.
- The room looks artificial or distracting: Regenerate or edit the image with a calmer center, a straight-on webcam-height view, and less dramatic perspective. Remove malformed objects or stray text before uploading.
- The image looks wrong only in a meeting: Test it in the app’s preview and camera framing; the rendering depends on the platform and device, so an image preview in the generator is not a substitute for a call-app check.
