To prepare a documentary project for the IDFA Forum, first choose the one program that fits its stage and form, then make the project’s artistic vision, visual approach, financing needs and intended partners clear. For the 2026 edition, Forum Presentation pitches lasted seven minutes, but IDFA—not the applicant—decided whether a selected project would pitch or join a roundtable. The 2026 entry window has closed; IDFA scheduled the Forum for November 15–18, 2026. Check the next edition’s official call for current dates, criteria, fees and submission requirements.
Start by choosing the right IDFA Forum program
A project may be entered in only one Forum program, so begin with its current production stage, format and immediate need—not with a preferred presentation style. IDFA’s 2026 call offered three distinct routes. The requirements and dates below describe that edition and may change in a future call.
| Program | Best fit | Key 2026 requirements or format |
|---|---|---|
| Forum Presentations | Projects in development or production seeking co-production, financing or creative partners. A producer must be attached; experience may vary. | IDFA decides whether a selected project is presented as a pitch or a roundtable. Visual material is recommended. |
| Rough Cut Presentations | Projects in late production or post-production seeking attention from acquisition and distribution professionals. | At least 75% of material shot; a full rough cut available by October 27, 2026; project not yet completed; planned 2027 release or premiere. IDFA gives preference to projects without a world sales agent. |
| DocLab Forum | Immersive and interdisciplinary documentary storytelling, including XR, interactive work, installations, multimedia journalism and live performance. | Linear cinema and broadcast projects are not eligible, except linear VR. The format is adaptable to a project’s form and approach. |
The practical choice is shaped by what you need from the market. A project still seeking collaborators or financing may suit Forum Presentations; a substantial rough cut is the starting point for Rough Cut Presentations; and a non-linear or immersive work may fit DocLab. If your project’s eligibility is unclear, IDFA advises contacting the Forum team rather than guessing.
Build an application that answers the partner’s basic questions
The 2026 application’s first phase asked for the project or working title, a logline of no more than 30 words, themes, intended audience and expected route to viewers, and a Vimeo link to visual material. If relevant, applicants also had to describe co-production interests, including the regions and types of partners they sought. A compelling application makes those fields work together: the reader should understand what the project is, whom it is for, what makes it distinctive and what sort of collaboration could move it forward.

Write a precise logline
Use the 30-word limit to convey the central subject, a protagonist or point of view, and the dramatic or investigative engine. This is a practical writing approach, not an official IDFA formula. Avoid using the limited space for background that belongs in the synopsis. A reader should be able to picture the central tension or question and see why the film needs to exist.
Name the collaboration you actually need
If you seek international co-producers, identify relevant territories and partner types, describe any active discussions accurately, and explain what that collaboration would make possible. A concrete request—for example, a production partner in a named territory or a collaborator with a particular creative role—is more useful than a broad appeal for “support.” Tie the request to the project’s next steps instead of presenting partnership as a goal in itself.
Also explain the intended audience and likely route to viewers. IDFA’s selection interests include artistic quality, uniqueness, development stage, subject, team, exposure at other international markets, production country, financing in place and genre. These are considerations, not a formula or a promise of selection. Make the project’s current position legible, including what is already in place and what remains to be solved.
Choose visual material that shows the film’s form
For Forum Presentation applicants, the 2026 checklist allowed up to 10 minutes of footage from the current project, or up to 10 minutes of relevant previous work if project footage was not available. IDFA strongly recommends visual material, such as a trailer, mood board or other relevant sample, and warns that incomplete applications without sufficient documentation will not be considered. The sample’s purpose is to make the project’s visual and narrative approach imaginable, not to summarize the entire film in miniature.

Select the strongest material for showing how the work sees, sounds or unfolds. If the film depends on observational access, character dynamics, a distinctive visual language or a particular use of archival material, the sample should help convey that quality. Keep it relevant to the proposal: previous work can demonstrate a filmmaker’s approach, but explain its connection if the images are not from this project.
Visual material must have English subtitles unless the spoken language is English. Check subtitle timing, legibility and completeness before sharing the Vimeo link, and confirm that the link works for the intended viewer. For DocLab, applicants could submit a trailer, teaser, pitch deck or other sample that communicates concept, form or visual approach. At pre-selection, DocLab applicants are also asked for a sample of the presentation or pitch. New-media applications ask applicants to identify additional creative team members and their countries.
Make the proposal vivid without promising what you cannot know
IDFA Professionals’ proposal-writing resource says, “First and foremost, it is important to make sure your reader can visualize your project as a completed film.” A strong narrative and a clear visual approach can help, but no one proposal structure fits every documentary. Describe the creative intention in a way that lets a reader understand and feel what kind of film is proposed.
Use the synopsis and project description to separate established facts from uncertainties. In character- or environment-driven work, research the likely narrative trajectory, conflicts, possible outcomes and events that may occur. Documentary stories can change as filming continues, so do not sell a fixed resolution, access or outcome that the team cannot substantiate. Specificity about what is known can build confidence without pretending the unpredictable is settled.

For selected projects, the 2026 publication form requested an updated logline of up to 30 words, a synopsis of up to 300 words, a project description of up to 600 words, and biographies or team information of up to 350 words. Selected teams also submitted publication visuals and a short paragraph explaining which professionals they hoped to meet and what they wanted from the Forum. Treat these as distinct pieces of work: the logline opens the door, the synopsis gives the story shape, the description communicates artistic intention and approach, and the biographies establish who will carry it out.
Prepare a finance plan and clear rights before pre-selection
Projects that advanced to pre-selection in the 2026 process were asked for a detailed finance plan distinguishing confirmed, requested and unsecured financing. IDFA required letters of confirmation for secured financing; letters of intent did not count as proof. Keep those categories precise, and make sure the totals and status of each source match the supporting documents.
Finance information could appear in the password-protected online Forum catalogue, so accuracy matters beyond the selection conversation. Share a current account of the project’s financial position, not an optimistic description that conflates discussions with commitments. The available guidance does not establish that selection guarantees financing, a co-producer or any other market outcome.
Applicants must hold rights or have clearance from rights holders for submitted materials. IDFA reserves the right to disqualify a project that includes unauthorized copyrighted material. Before submitting footage, stills, music, archival content or other third-party elements, track what is included and the status of each clearance. A visually strong sample is not worth creating a rights problem for the project.

Know what the live presentation involves
The format depends on the program and, for Forum Presentations, on IDFA’s decision. The 2026 guidance gave these presentation structures:
| Format | Presentation and discussion |
|---|---|
| Forum Presentation: Pitch | Seven minutes, combining visual materials with a moderated introduction, followed by a short Q&A with an industry representative. |
| Forum Presentation: Roundtable | A seven-minute presentation with visuals and a moderated introduction, followed by a 15-minute discussion with a curated professional group. |
| Rough Cut Presentation | A 20-minute excerpt in a cinema setting, with a short moderated introduction. The audience is targeted toward acquisition and distribution professionals, including festival programmers attending Docs for Sale. |
| DocLab presentation | An eight-minute presentation with visual material and a moderated introduction, followed by discussion with industry representatives. |
Do not apply on the assumption that you can choose between a pitch and roundtable: IDFA selects the format for Forum Presentation projects. The short presentation time rewards prioritization. Center the film’s distinctive artistic proposition, its current stage, the specific gap or opportunity, and the people or expertise the team hopes to meet. For a rough-cut screening, use the introduction to orient viewers to the edit’s stage and the work still to be done rather than treating the excerpt as a conventional sales pitch.
Each selected project is represented by a two-person team described by IDFA as producer and director; they present and take part in meetings. One-on-one meetings are arranged through mutual interest: project teams and industry representatives indicate whom they would like to meet, and not every accredited guest participates. Prepare a concise objective for those conversations and identify professionals by role or expertise, rather than treating the Forum audience as one undifferentiated network.

The 2026 selected-project presentation fee was €475 before VAT, or €574.75 including 21% VAT. IDFA said it covered the presentation, catalogue listing, curated one-on-one meetings, two Forum accreditations, networking events, the industry program, and online access to accredited guest profiles and contact details. Fee exemptions or discounts may be available based on the main producer’s country of origin and residence; confirm eligibility and current amounts in the next call.
IDFA strongly encouraged first-time project presenters selected for the Forum to register for pitch training. This is a recommendation for selected first-time presenters, not evidence that external coaching is required. Allow time for any training and for producing the publication materials if selected, alongside the core preparation of the film and its proposal.
Use the 2026 selection figure in context
IDFA announced that 47 projects were selected from 859 entries for the 2026 Forum. That figure describes that edition only; it is not a general acceptance rate and does not predict an applicant’s chances in another year. The available official guidance does not provide a generally applicable success rate, a required pitch script, or a guaranteed financing outcome.
