Documentary co-production forums help filmmakers reach potential financiers, co-producers and other industry partners through project selection, pitches, screenings and scheduled meetings. They create a structured opportunity to explain a film and its needs to relevant people; they do not guarantee funding or a deal. To benefit, a team needs a clear project, a credible finance plan and a specific idea of what kind of partner it is seeking.
What a documentary co-production forum does
A co-production forum is a professional market organized around selected documentary projects and the people who may help move them forward. Depending on the program, participants can include commissioning editors, public and private funders, producers, broadcasters, platforms, sales agents, distributors, exhibitors and creative collaborators. The forum’s main value is targeted access: a project team can bring its film and its needs to people with relevant roles, then explore whether a financing, production or distribution relationship makes sense.
This is different from a grant program. A grant makes an award through its own funding process; a forum creates chances to present a project and discuss possible relationships. A pitch, introduction, meeting or expression of interest is not itself a financing commitment. Even a promising conversation needs to be followed by the relevant parties’ own assessment and agreement.
IDFA describes its Forum as connecting filmmakers, producers and new-media creators with commissioners, funders, co-producers, sales agents, distributors, exhibitors and professionals focused on immersive and interactive work. Its formats reflect the fact that projects need different kinds of access at different stages.

How the format shapes the opportunity
Public presentations and pitches
A presentation puts a project before a broader group of industry professionals. It can help a team explain the film’s subject, approach and current needs to multiple potential counterparts at once. IDFA’s 2026 entry page describes Forum Presentations as being for projects in development or production that are seeking financing, co-production or creative partners. That makes the format relevant when the team can communicate both what the film is and what it needs next.
Roundtables and targeted introductions
Smaller roundtables create a more focused setting for discussion and introductions. Rather than addressing only a large audience, a team can use a narrower conversation to investigate fit with particular kinds of partners. The value depends on whether the people in the conversation match the project’s needs; a meeting is useful only if it advances a real question about financing, production, creative collaboration or access to audiences.
One-to-one meetings without a public pitch
DOK Leipzig’s DOK Co-Pro Market offers a contrasting model. Its 2026 guidelines describe scheduled one-to-one meetings and no public project pitch. Financiers and producers review project information in advance and choose which teams they want to meet. This makes the written application especially important: the project information has to help a potential counterpart decide whether a meeting is worth having.
DOK Leipzig says the market is aimed at projects in development or early production that want to build co-productions early. Its guidance tells applicants seeking finishing funds not to apply. A market’s stage requirements are substantive, not administrative fine print: a project can be well made and still be a poor fit if it needs a different kind of support.

Rough-cut presentations and immersive work
Some formats address needs beyond early financing. IDFA’s rough-cut presentations use screenings to connect later-stage films with festivals, sales and distribution. DocLab serves immersive and interactive projects. A rough cut seeking distribution conversations and an early-stage project seeking co-producers are asking for different kinds of help, so they should not be treated as interchangeable applicants to the same program.
What a forum can—and cannot—help a film secure
A well-matched forum can help a team identify potential partners, explain its financing gap, test whether a proposed collaboration is plausible and establish conversations that may continue after the event. The people in the room and the way meetings are organized determine which of those outcomes is most likely to be relevant. A program designed around one-to-one meetings, for example, offers a different path to access than a public pitch or a rough-cut screening.
Published participation figures show the scale of activity, but they do not establish how many projects close financing or complete a partnership because of attendance. The distinction matters when judging the value of a forum: selected projects, scheduled meetings and later festival selections are different outcomes from money committed or a co-production agreement signed.
| Published figure | What it counts | What it does not establish |
|---|---|---|
| IDFA selected 56 projects from 820 entries in 2024. | That year’s entries and selected projects. | The share of projects that raised financing or formed partnerships. |
| IDFA selected 51 projects from 841 entries in 2025. | That year’s entries and selected projects. | A financing conversion rate or proof that selection caused a deal. |
| IDFA reported that 13 prior Forum projects entered its official festival selection or IDFA harvest in 2025. | A later exhibition outcome reported by IDFA. | Financing success, or proof that participation caused those selections. |
| DOK Leipzig’s 2026 edition described 35 international projects, more than 175 participating professionals and over 900 curated one-to-one meetings. | The market’s project, participant and meeting scale for that edition. | The number or value of deals completed. |
These figures are useful for understanding selectivity and the scale of matchmaking, not for predicting an individual project’s return. The official figures cited above do not provide a verified rate for projects that secure a co-producer, financing commitment, distribution agreement or completed film directly as a result of participation.

Prepare the project around a clear, specific ask
Application materials need to do more than describe an interesting film. They should make it possible for a selector or potential partner to understand the project’s creative proposition, stage, financing position and intended collaboration. IDFA’s entry checklist asks applicants to identify whether they seek international co-producers, which territories matter, what kind of partners they want, whether discussions are already underway, who the intended audience is and how the team expects to reach viewers. It also asks for the total budget, financing already in place, the amount still needed, a finance plan and the industry professionals most relevant to the project.
Define the film and its creative direction
- Prepare a concise logline, synopsis and project description that meet the application’s requirements.
- Show the film’s visual or creative direction with a trailer, sample, rough cut or other visual material in the requested format and language.
- State the project’s stage accurately. The material should help a reader understand whether the film is in development, early production or a later phase.
Make the financing position legible
Set out the total budget, the financing already secured and the amount still needed. For later selection stages, IDFA requests a detailed plan that distinguishes confirmed, requested and unsecured financing. It requires letters of confirmation as evidence for secured financing and says letters of intent do not count as proof. That distinction prevents a possible future contribution from being presented as money already available.
DOK Leipzig also asks for a finance plan, describing it as a roadmap for the partners a project seeks. The plan therefore has two jobs: show where the film stands financially and make the remaining need understandable to a prospective partner. A team should be able to explain what kind of contribution would close the gap, without implying that an interested conversation is a commitment.
Specify the partner and the reason for the match
“We need partners” is too broad to guide a useful meeting. Identify the kind of contribution sought: for example, an international co-producer, a partner in a particular territory, creative expertise, production financing, sales support or a distribution relationship. The exact ask should follow the project’s actual gap, not a generic wish to meet everyone in the market.

- Compact without compromises: Our sleek design won’t block neighboring HDMI ports, so you can switch from streaming to gaming with ease. Plus, it’s designed to stay hidden behind your TV, keeping wires neatly out of sight
For each type of potential counterpart, set a realistic meeting objective. A conversation with a prospective co-producer might establish whether the territory and production approach align; a discussion with a distributor might test how the film could reach viewers. These are objectives for discussion, not promises of an outcome.
Choose a forum by matching its format to the film’s stage
Before applying, compare the program’s stage, format, participants and purpose with the project’s current need. The following distinctions reflect the official descriptions of IDFA’s formats and DOK Leipzig’s 2026 market guidance.
| Decision point | What to check | Why it affects fit |
|---|---|---|
| Stage and eligibility | Whether the program accepts development, early production, later production, rough cuts or immersive prototypes; check minimum-footage, premiere or prior-participation conditions where stated. | A program aimed at early co-production may not suit a film seeking completion funds. |
| Meeting format | Public pitch, small-group roundtable, screening or private scheduled one-to-one meetings. | Each format provides a different way to present the project and reach potential counterparts. |
| People in the room | Whether the relevant participants include funders, commissioning editors, co-producers, broadcasters, distributors, sales agents, festivals or specialist creative collaborators. | A large attendee list is less useful than access to people who can address the project’s actual need. |
| Program purpose | Whether the emphasis is development and co-production, production financing, feedback, sales or distribution. | A rough-cut screening and an early-stage co-production market solve different problems. |
| Application demands | Required finance-plan detail, visual material, evidence for confirmed financing, team requirements and any stated feedback for unsuccessful applicants. | The team needs to meet the requirements and have enough information to make a credible case. |
| Cost and access | Participation fee, included accreditation, contact-information access, travel and accommodation costs. | The fee is only one part of the resources needed to participate. |
IDFA listed a 2026 project presentation fee of €475 before VAT, or €574.75 including 21% VAT. That is the published fee for the project presentation, not a full estimate of travel, accommodation or other participation costs. Fees and program terms can change by edition, so check the official event pages for the edition in which you plan to apply. DOK Leipzig’s project and meeting figures above describe its 2026 edition; they should not be treated as guarantees about a later year’s scale or format.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Use the application as a test of readiness
Preparing an application can reveal whether the team can explain the film and its financing needs consistently. If the budget, amount secured and amount still required do not add up clearly, a potential partner may struggle to understand the ask. If the team cannot name the partner type or territory it seeks, it may be difficult for a selector to see why a particular meeting or format would help.

- Identify the project’s current bottleneck. Decide whether the next step requires development support, co-production, production financing, creative collaboration, sales or distribution.
- Check the event’s stated fit. Confirm that the stage and requested type of support match the program; do not use an early co-production market as a substitute for a finishing-fund opportunity when its guidance excludes that need.
- Build the project materials. Prepare the description and visual sample in the format, language and level of detail the application asks for.
- Reconcile the finance plan. Separate confirmed funds from requested and unsecured sources, and document confirmed financing as required.
- Prioritize counterparties. Name the relevant partner types and territories, then connect each to a specific project need and meeting objective.
- Budget the full participation. Check the current fee and what it includes, then account separately for access, travel and accommodation if applicable.
This preparation does not ensure selection. It makes the project’s case and its request more intelligible, which is necessary for a forum to produce useful conversations.
Read outcomes carefully after the event
After a forum, keep a clear record of what was discussed and distinguish interest from commitment. An introduction can lead to a follow-up; a follow-up can lead to negotiations; neither is equivalent to secured finance. For accounting and future applications, use the project’s actual evidence of confirmation rather than treating a positive conversation or letter of intent as money in place. IDFA’s stated requirement for confirmation letters illustrates this difference.
Likewise, a film’s later appearance in a festival selection is an exhibition outcome, not evidence by itself that forum attendance generated financing. IDFA’s report of 13 prior Forum projects entering its official festival selection or IDFA harvest in 2025 is meaningful as a reported follow-on outcome, but it is not a funding conversion measure or proof of causation.
What the published evidence supports
The official descriptions show that documentary forums can organize project selection, pitches, targeted conversations, screenings and one-to-one meetings around potential industry partners. Their practical use depends on matching the project’s stage and needs to the program’s format and participants, and on presenting a coherent finance plan and specific ask.
The published information establishes scale, selectivity and the kinds of access offered; it does not establish a guaranteed route to financing or a verified deal-success rate. Treat the forum as a structured way to reach and assess potential partners—not as the financing itself.
