How to choose a webinar platform for a startup
Start with the event you need to run and the work the platform must do before and after it. A live product launch, an evergreen lead-generation webinar, and recurring customer training can have very different requirements. The right shortlist also depends on whether attendee charges, host limits, session caps, or CRM integrations change the real cost.
Match the format
Decide whether you need live events, on-demand viewing, automated or evergreen sessions, or a mix. Confirm that the format you need is included in the plan you intend to buy; availability can vary by vendor and tier.
Size for attendance and duration
Plan for the expected live peak and the longest session, not just the number of people who register. Check attendee ceilings, session-length limits, and host counts at the relevant tier. A cap that fits a typical event may not fit a launch or a longer training session.

Understand how billing scales
Compare per-attendee charges with fixed subscriptions and check whether no-shows use credits. Also account for annual billing, required base subscriptions, add-ons, and extra team seats. A low entry price can be misleading if the workflow depends on a higher tier or another paid product.
Check the marketing workflow
List the operational features you will actually use: registration pages, reminders, polls, Q&A, timed offers, replays, analytics, and CRM synchronization. Verify which integrations are native, which require middleware, and which are restricted to a higher plan. For CRM handoff, confirm that the fields you need—not simply the integration name—are supported.

Include switching costs
Before committing, find out how you can export registration and attendance data, retain replays, and move existing workflows. Include migration effort and any underlying meeting subscription in the comparison, not just the webinar product’s headline price.

- Define the event. Write down whether it is live, on-demand, automated, or a combination, and note the longest expected session.
- Confirm capacity. Check the plan’s live-attendee ceiling and host limit against the likely peak, not merely registrations.
- Test the workflow. Run a test event and check registration, reminders, attendee interaction, replay, and analytics from both organizer and attendee perspectives.
- Validate CRM handoff. Confirm that your required integration is native on the plan under consideration and that the fields you need are available.
- Calculate total cost. Add any required meeting subscription, per-attendee charges, add-ons, seats, and annual commitment. Ask how no-shows are billed.
- Check portability. Confirm how registration and attendance data can be exported and how long replays remain accessible.
- Recheck vendor terms. Verify current pricing, caps, feature tiers, cancellation terms, and any usage limits directly before purchasing.
