For a public YouTube broadcast, YouTube’s webcam or encoder workflows may be enough; Vimeo is an option for hosted events built around an encoder. Confirm current licensing, capacity, and permissions before committing.

Which platform works best for an internal company town hall?
Teams Town Hall is the most direct fit among these options when employees primarily need to watch and submit questions rather than speak on camera. Microsoft describes Town Hall as a one-to-many experience: attendee microphones and cameras are off, with Q&A available for engagement. Presenters can appear in a spotlight layout with up to seven video feeds at once. Microsoft also lists translated captions, recordings, and attendee reports among its features. Caption language choices differ depending on Teams Premium status; check the current Microsoft documentation for the organization’s configuration.

Capacity is a planning issue, not a number to assume from the product name. Microsoft says events for 20,000–100,000 attendees require capacity packs and contacting Teams Events Services at least two weeks beforehand. Verify applicability, availability, and licensing with Microsoft before scheduling an event in that range. Microsoft’s stated retirement date for Teams live events was June 30, 2026; as of October 3, 2026, treat that experience as a legacy option and use Town Hall as the starting point for new Teams events. Can Zoom stream a meeting or webinar to YouTube or a custom site?
Zoom documents livestreaming meetings and webinars to supported destinations, including YouTube Live, Facebook Live, LinkedIn Live, and custom RTMP destinations. The actual workflow depends on whether you are streaming a meeting or webinar and on the account’s plan and settings. For custom-site streaming, Zoom says the appropriate account or host license and an administrator-enabled setting are required; its support guidance also specifies a minimum Zoom desktop app version, with HD video needed for higher quality. Review Zoom’s custom-site instructions and its event livestreaming overview, published June 26, 2026, then confirm current plan terms with the account administrator. The overview describes one destination at a time for the configuration on that page; do not assume that limitation or any plan detail applies to every Zoom setup without checking current terms.

Do you need an encoder, or will a webcam work?
Use a webcam for a straightforward broadcast
YouTube documents webcam streaming from a computer with a webcam. It can suit a simple presenter-led broadcast when you do not need a separate production setup. Check the camera and microphone already available before buying accessories.
Use an encoder for a more produced event
YouTube describes encoder workflows as useful for overlays and setups involving hardware such as microphones, preamps, and cameras, and notes their common use for conferences. Vimeo’s live-event FAQ requires a camera connected to a supported encoder. For either service, check encoder compatibility, network requirements, and current plan limits with the provider and your IT team. How to plan and rehearse the town hall
- Set the audience and access model. Decide whether the event is for employees, invited guests, or the public. Check that organizers, presenters, and viewers can access the service and event link, and determine whether organizational sign-in or another access control is required.
- Choose how attendees participate. Decide whether attendees should speak, use Q&A or chat, or watch without participant microphones and cameras. Assign a moderator to monitor questions and comments.
- Verify plans, permissions, and capacity. Confirm the current attendee limit, licenses, host permissions, enabled streaming destinations, and any add-ons. For Zoom, verify the host license, administrator setting, and required desktop app. For Microsoft Town Hall, check configuration-specific capacity and feature availability.
- Confirm the production and network path. Check camera, microphone, encoder compatibility if applicable, network connectivity, and any corporate network rules. Do not assume a setup that works on a personal connection will work on the organization’s network.
- Run a private rehearsal of the complete setup. Google’s Live Streaming Guide recommends testing the internet connection, camera framing, audio capture quality, and lighting as a private YouTube stream before the event. Test from the location and equipment you intend to use.
- Decide what happens after the broadcast. Confirm who can access the recording, how it will be published or archived, and whether attendee reporting is needed. Microsoft documents Town Hall recordings and attendee reports; Google recommends archiving a YouTube stream for on-demand viewing.
What to check before going live
- Access: Test the event link and sign-in process using the expected viewer accounts.
- Audio and video: Check framing, lighting, microphone pickup, and the complete signal path—not just whether a camera preview appears.
- Moderation: Assign a person to monitor Q&A or chat and decide how questions will reach presenters.
- Recording: Confirm whether recording is enabled, who can retrieve it, and how an on-demand version will be shared.
- IT and capacity: Confirm network rules, destination permissions, account tiers, and attendee capacity with the provider or administrator.
Google’s Live Streaming Guide specifically advises testing the complete setup privately before the event. A rehearsal is the practical way to catch access, audio, and production problems while there is still time to fix them.
Common problems and what to do
- The livestream option is missing in Zoom: The account may lack the necessary host license or administrator enablement, or the event type may not support the selected route. Ask the administrator to verify the account configuration and compare it with Zoom’s requirements.
- Some viewers cannot open the event: Recheck the access model and test the event link with a viewer account that matches the intended audience. Confirm that invitees can sign in to the required service.
- Viewers hear poor or missing audio: Check microphone selection and audio capture in a private rehearsal. If using an encoder, inspect the complete audio path from microphone or other source through the encoder.
- The video looks different than expected: Review camera framing, lighting, source settings, and the chosen streaming workflow. If using Vimeo, verify that the desired transcoding options are available for the current plan and source settings.
- The attendee count exceeds the planned setup: Reconfirm current limits, licenses, and capacity options with the provider. Microsoft specifies advance contact and capacity packs for the documented 20,000–100,000 Town Hall range.
