Behind the Scenes of a Photoshoot: From Brief to Final Image

A photoshoot takes shape through planning, teamwork, and lighting decisions. Here’s what happens before and during the session, from a simple portrait to a larger production.

A photoshoot is more than the moment a photographer presses the shutter. The brief, location, people, lighting, equipment, and timing all have to work together so the camera can capture the intended image. A small portrait session may need only a photographer and a subject; a larger editorial production can involve a producer, stylist, assistants, and other specialists.

Before the shoot: turn the brief into a workable plan

Planning begins with the image the client or creative team wants to make. That concept guides practical decisions: who or what will be photographed, where and when the shoot will happen, what wardrobe or props are needed, and which backgrounds and lighting approach suit the look.

The Professional Photographers of America’s 2025 studio-shoot resource describes preparation, lighting plans, teamwork, and workflow as connected parts of planning a professional shoot. Match the crew to the scale

A straightforward portrait session can be organized with a small team. As a production grows, responsibilities may be divided among a producer or production assistant, location scout, casting director, stylist, and retoucher. The production chapter by Lisa Pritchard describes considerations such as studio or location access, backgrounds, set construction, wardrobe, props, and model usage terms. Clarify the assignment before accepting an assistant role

An assistant’s preparation may include reviewing the concept and instructions, confirming the call time and location, and understanding what the photographer expects before, during, and after the shoot. On set: coordination keeps image-making moving

The photographer focuses on framing, directing, and making images while other crew members help the setup function. Depending on the assignment, an assistant might carry or test equipment, assemble modifiers, position lights, hold a reflector, change a background, help build a set, keep cables organized, check tethered captures, or make behind-the-scenes photographs. These are possible duties rather than a universal job description.

Good coordination is practical and responsive. A crew member may prepare the next setup while the photographer works, or flag a problem before it interrupts the session. On a larger production, styling, casting, location logistics, and post-production may each have a specialist; on a small shoot, fewer people may share those tasks. The process adapts to the assignment rather than following one fixed hierarchy.

Lighting: each source has a different job

  • Fill light: a source used to reduce the depth of shadows created by the key.
  • Backlight: light that highlights the subject’s edge and can help separate them from the background.
  • Background light: a source aimed at the backdrop to add shape or visual interest.

One light can be enough to explore studio looks. A photographer can also use an off-camera flash as the key and a reflector to return light into shadow areas, creating a key-and-fill effect without a second powered light. A collapsible reflector is therefore a useful optional tool, not a requirement.

One light or more?

The number of lights depends on the desired result, the location, and what equipment is available. In a Sony Alpha Universe editorial-style portrait feature published August 17, 2022, photographer Miguel Quiles demonstrates a two-light Profoto setup, but says, “You could probably get away with a one light setup, you don’t have to have that,” referring to the second light in that example. What changes from a portrait session to a larger production?

Aspect Small portrait session Larger production

Preparation Coordinate the concept, time, place, wardrobe or props, background, and lighting. Those choices may require additional coordination for access, set construction, model usage terms, and multiple departments.

This comparison describes possible arrangements, not minimum staffing rules. The kind of photographs, location, schedule, and production needs determine how many people are involved.
