Short answer: Switchboard Live routes a feed from a compatible external encoder to configured destinations; it does not host or play your prerecorded files. A VPS gives you a server on which you arrange playback and encoding yourself. Choose Switchboard when destination distribution and scheduled starts matter; consider a VPS when you want to control the server-side stack and can maintain it. Neither option removes the need to plan for YouTube interruptions and independent recording.
What each option actually does
Switchboard Live: distribution, not video hosting
Switchboard says prerecorded video can be streamed through its service, but the file must be played by a compatible encoder and sent to Switchboard. It does not store prerecorded videos or archive the video after streaming. You need the recording available to the encoder and an operating process that keeps sending the feed.

A VPS: playback and encoding you operate
With a VPS, you arrange the playback and encoding software on a rented server and keep that process running. You are responsible for configuring the encoder, storing or accessing the media, handling restarts and failures, monitoring the output, and accounting for server capacity and outbound data. The exact work depends on the provider, operating system, software, and stream design; there is no single standard VPS configuration established here.

If you only need one YouTube destination, multistream distribution may not add much value. YouTube describes both local encoders and cloud service encoders; a cloud service can distribute one high-quality input across selected channels, resolutions, or platforms, which matters only if those destinations suit your plan. YouTube’s encoder directory also names Gyre as a cloud-based option for 24/7 prerecorded-video streams; that listing alone establishes neither its current terms nor comparative performance. What you need before going live on YouTube
- Your channel must be verified and must not have had a live-streaming restriction during the preceding 90 days. First-time live-stream enablement can take up to 24 hours, so enable it before your planned launch. YouTube live-streaming eligibility
- Use content that complies with YouTube’s Community Guidelines and Terms of Service. Having a recording does not establish that you have the rights to stream it.
- Choose an ingest workflow supported by your encoder and destination. YouTube recommends RTMPS. Follow the current settings in YouTube’s encoder guidance and the instructions for your chosen service. YouTube encoder settings
- Plan for an independent recording. YouTube says a stream under 12 hours can be automatically archived, but a stream longer than 12 hours may not be captured at all. It recommends keeping a local archive as backup. Do not rely on one continuous 24/7 broadcast to produce a complete YouTube archive. YouTube live-stream archive guidance
Configure and test the stream
Set encoder basics
Switchboard’s setup guidance recommends constant bitrate (CBR), two-second keyframes, and 30 or 60 FPS. YouTube also recommends CBR and a two-second keyframe frequency. Set the resolution and bitrate to suit your source and the current YouTube guidance; the material available here does not establish one bitrate that fits every resolution, frame rate, or connection. Check outgoing bandwidth
Estimate total outgoing bitrate across all destinations, not just one copy of the feed. YouTube recommends leaving 20% upload-bandwidth headroom and warns that an internet interruption may break the stream. This matters especially when an encoder sends directly to multiple destinations; the actual network requirement depends on how the encoder and service distribute the feed. YouTube bandwidth guidance

Run a launch test
- Confirm the channel is eligible and live streaming is enabled.
- Connect the encoder using the destination’s current stream URL and key or other supported connection details. Keep the stream key private; if it is exposed, replace it in the destination’s live-stream settings.
- Start a private or otherwise suitable test and check the YouTube Live Control Room preview before the intended public start.
- Verify picture, audio, frame rate, and continuity at the destination. Monitor audio and video quality during operation rather than assuming a connected encoder means the stream is healthy.
- Verify that the independent recording is being created and that its file is growing. If you configure a backup encoder, test its failover path instead of assuming it will take over.

Plan continuity and archiving separately
A 24/7 feed is a continuous operating job, not just a successful first connection. Decide who or what detects a stopped process, restores playback, reconnects the encoder, and confirms that the destination is receiving video. Switchboard’s external encoder requirement means the encoder still needs its own continuity plan; a VPS shifts playback and encoding onto your server but does not, by itself, prove that your process will recover. No hands-on comparison establishes that either approach is inherently more reliable.

Archive planning is a separate responsibility from streaming. Because YouTube warns that streams longer than 12 hours may not be captured, use a suitable independent recording arrangement and check that it is actually recording. For a long-running channel, decide how files will be rotated, stored, checked, and retained before the stream starts.

There is no defensible universal claim that Switchboard or a VPS is cheaper. Switchboard’s listed licensing is seat-based monthly or annual, and a 24/7 stream is identified as an Enterprise feature; obtain a current quote for the destinations and scheduling you need. For a VPS, get a quote for the specific region and workload, including compute, outbound transfer, storage, and any redundancy. Add the cost of encoder software or services where applicable, monitoring, and the time required to maintain the system.

Use the same assumptions on both sides: resolution, frame rate, outgoing bitrate, number of destinations, required archive retention, and expected operating period. A VPS estimate that omits egress or maintenance time is not comparable with a service quote that includes distribution features.

Troubleshooting common failures
- No stream appears in YouTube: Check that live streaming is enabled, the correct destination URL and stream key are in use, and the encoder is actually sending. Confirm the destination preview before making the broadcast public.
- The feed drops or repeatedly disconnects: Check connection stability and outgoing bandwidth against the total bitrate, with YouTube’s recommended 20% headroom. Inspect encoder and service status, then test the restart or failover procedure you intend to rely on.
- Switchboard cannot play the recording: Switchboard does not host prerecorded files. Confirm that the external encoder can access and play the media and is sending a supported ingest protocol.
- Video or audio quality is inconsistent: Check CBR, the two-second keyframe interval, frame-rate settings, and the encoder’s source and output. Review the YouTube preview and monitor the actual feed; do not assume the recording’s local playback guarantees a clean stream.
- No complete YouTube archive is available: A continuous stream exceeding 12 hours may not be captured. Use and verify an independent recording rather than depending on YouTube’s archive.
- The VPS process does not resume after a restart: Review your own process startup, media access, encoder configuration, and monitoring. Restart recovery depends on the particular setup; it is not established merely by renting a VPS.
