How to Schedule YouTube Livestreams and Manage a Playlist with Google Sheets and Apps Script

A practical guide to scheduling YouTube broadcast events and managing playlist videos through separate Apps Script API operations.

You can use Google Sheets as the schedule and Apps Script to create scheduled YouTube live events and add videos to a playlist through separate YouTube API operations. A playlist does not itself schedule or start a livestream: broadcasts, video streams, and playlist items are different resources. The workflow below keeps their IDs and jobs distinct.

What this workflow does—and what it does not do

A scheduled YouTube livestream is represented by a liveBroadcast resource. A playlist is managed separately through playlist items. Apps Script can orchestrate calls to both APIs from rows in a spreadsheet, but creating a broadcast does not, by itself, add a video to a playlist or begin sending video to YouTube. A broadcast is the event; a live stream carries the video and can be bound to that event. See Google’s YouTube Live Streaming API reference.

This is an API-based scheduling and playlist-management workflow, not a turnkey Google Sheets scheduler. It creates event records and playlist entries; it does not establish that a computer, encoder, or uploaded playlist will automatically provide video at the scheduled time.

Choose the right workflow for the job

Approach Useful when Trade-off
YouTube Studio You have a small number of events and prefer to schedule them manually. Less spreadsheet-driven repeatability; the API documentation does not provide a measured comparison with Studio.
Google Sheets and Apps Script You want a repeatable input sheet, row-level metadata, and automation of API requests. You must set up authorization, handle errors, maintain the script, and keep broadcast and playlist operations separate.

These are practical selection criteria, not measured performance findings. For a small schedule, manual setup may be simpler. For repeated row-based work, a sheet can make inputs and processing status easier to track.

Set up the spreadsheet and Apps Script

1. Make a schedule sheet

Google’s API documentation defines the resource fields, not a required spreadsheet template. One practical layout is:

  • Scheduled start time: the future date and time for the broadcast.
  • Broadcast title: the event title sent as snippet.title.
  • Privacy: the chosen YouTube privacy status sent as status.privacyStatus.
  • Broadcast ID: the ID returned when the broadcast is created.
  • Playlist ID: the destination playlist’s ID.
  • Video ID: the YouTube video to add to that playlist.
  • Playlist item ID: the ID returned when the playlist entry is created, if you need to update that entry later.
  • Processing status and error: row-level results so a failed request is visible and can be handled instead of silently treated as complete.

Keep event and playlist columns separate. A broadcast ID is not a playlist item ID, and neither is a video ID.

2. Enable the YouTube advanced service

In the Apps Script project, open Services, add the YouTube Data API advanced service, and follow Google’s setup prompts if the associated API also needs enabling in the linked Cloud project. The advanced service exposes YouTube API operations through Apps Script and follows the public API’s objects, methods, and parameters. See Google’s Apps Script YouTube service guide.

3. Authorize the operations

Run the script under an account that has permission to manage the relevant YouTube channel and playlist, then grant the requested authorization when Apps Script prompts you. Google’s playlist insertion guide specifies OAuth 2.0 authorization, and the LiveBroadcasts: insert reference lists the authorization scopes for broadcast creation. Request only scopes appropriate to the operations your script performs. Channel access, account eligibility, and unattended execution requirements should be checked for the account you will use; they are not guaranteed by enabling the Apps Script service.

Create a scheduled broadcast from a row

Required values

Google’s LiveBroadcasts: insert method requires a title, scheduled start time, and privacy status. The start time must be in the future and within a range YouTube can schedule reliably. Store a date and time deliberately in the sheet, account for its time zone, and convert it to an ISO 8601 timestamp with a time-zone offset before sending it.

Apps Script example

The following illustrates the API call for one already-validated row. It assumes the YouTube advanced service is enabled and that the input values have been read from your sheet.

For example, pass a start time formatted as an ISO 8601 date-time with an explicit offset, such as 2026-11-15T18:30:00Z for a UTC time. Choose a privacy value accepted by YouTube and appropriate to the event. Save the returned broadcast ID in the row so later work can refer to the right event.

Creating an event does not start the video feed

The insert call creates a broadcast event. It does not mean your video is being sent to YouTube. A separate live stream resource carries the video, and a broadcast can be bound to a stream. If your workflow also creates or binds streams, treat those as separate API steps and store their IDs separately; consult the Live Streaming API reference for the resource model.

Add a video to a playlist as a separate operation

Required values and example

To add a video, call playlistItems.insert with the destination playlist ID and the YouTube video ID. Google’s PlaylistItems: insert reference documents the required fields and possible errors. The implementation guide also shows the OAuth-authorized playlist workflow: Implementation: Playlists.

Save the returned playlist item ID and mark the row’s playlist operation complete only after the call succeeds. Do not mark an item as added merely because its broadcast was created: they are separate requests and can succeed or fail independently.

Playlist order is a separate concern

If you need to set an item’s position, first check that the playlist uses manual ordering. Google’s PlaylistItems: update documentation states that positioning requires manual sorting. Do not assume that inserting rows in sheet order guarantees the intended position for a playlist with another ordering mode.

Process rows safely

  1. Validate inputs before making API calls. Check that the start time parses correctly, is future-facing, and has an explicit time zone; that the title and privacy value are present; and that playlist and video IDs are supplied for any playlist operation.
  2. Create or update the broadcast as its own job. Record the returned broadcast ID and a success status. Do not represent this as a live video feed starting.
  3. Add the playlist item as its own job. Use the playlist ID and video ID, then record the returned item ID or a readable error.
  4. Make reruns deliberate. Before retrying a failed or interrupted row, inspect its status and returned IDs. A request may have succeeded even if a later spreadsheet write did not; blindly repeating it can produce a duplicate-item error.
  5. Keep failures visible. Store which operation failed and its error rather than stopping the entire schedule without recording where processing ended.

This row-by-row pattern is an implementation recommendation, not a Google-prescribed sheet format. The official Apps Script sample demonstrates API operations; it is not a Google-provided turnkey spreadsheet scheduler.

Updating existing records without losing settings

Broadcast updates

Broadcast updates require the resource ID and the fields and parts required by the update method. Be careful when including a mutable part: Google warns that omitted values in an included part can be reset or removed. A sheet containing stale or partial data is not a safe source for replacing a whole mutable part. Read or retain the values you need to preserve, construct a complete update body for the parts you include, and check the LiveBroadcasts: update reference before changing an existing event.

Playlist item updates

Use the saved playlist item ID when updating an existing item. If the requested change is its position, confirm the playlist is manually ordered first; the update reference documents that requirement.

Common failures and what to check

  • Authorization or permission error: confirm the script was authorized and the account can manage the target channel or playlist. Playlist insertion requires OAuth authorization. Google documents API errors at YouTube Data API errors.
  • Broadcast start-time rejection: check that the timestamp is in the future, correctly formatted, and within the scheduling range YouTube can reliably handle. Recheck the spreadsheet’s time zone and any conversion logic.
  • Playlist or video not found: verify the playlist ID and video ID, and confirm the authorized account can access the target resources.
  • Duplicate playlist item: check whether an earlier attempt already added the same video before retrying. Google documents duplicate and other playlist-operation errors in the API errors reference.
  • Unsupported playlist or capacity limit: check the playlist type and current contents. Playlist insertion can fail for an unsupported playlist or when a playlist’s capacity limit is reached.
  • Wrong playlist position: confirm manual ordering is enabled before sending position changes.
  • Existing event loses values after an update: check whether the update included a mutable part but omitted values that needed to remain. Rebuild the request from complete, current values rather than a partial or stale row.
  • Event exists but no video appears: creating a broadcast record is not the same as sending video. Check the separate stream resource and the workflow that supplies video to YouTube.

Copyright, playback, and YouTube channel rules

Scheduling an event or placing a video in a playlist does not establish that you have rights to stream the video or that the channel meets YouTube’s requirements. Confirm you have permission to use the audio and video, and review YouTube’s current live-streaming and monetization policies in YouTube Studio before publishing. The API operations described here manage event and playlist resources; they do not validate copyright permission, reused-content eligibility, or channel eligibility.
