How to Use Instructional Videos in Event Marketing

A practical guide to using video before, during, and after an event—from instructional previews and session clips to on-demand learning and measurement.

Use instructional videos to give prospective attendees a clear reason to register, help participants get more from an event, and make useful sessions available afterward. Plan each video around a specific audience, stage, and next action: a preview can lead to registration, a session clip can teach one idea, and an on-demand recording can extend the lesson beyond event day.

Start with the job the video needs to do

Build video into the event content and promotion plan from the beginning, rather than treating recording as a separate task. Cvent and Zoho Backstage both describe video across the pre-event, event-day, and post-event stages; their advice is useful planning guidance, not a guarantee of more registrations or attendance.

  • Before the event: explain who should attend, what they can learn, and why it matters now. Give the viewer a clear route to the event page or registration.
  • During the event: capture a focused lesson, speaker insight, or attendee perspective that is useful to people considering a future event as well as those who could not attend.
  • After the event: publish sessions or edited lessons for on-demand learning, then use a recap or selected clips to direct viewers to another session or the next event.

Decide the primary action before filming. It might be registering, attending, watching a full session, or taking a qualified follow-up step. The intended action determines what to record, where to publish it, and what to measure.

Choose a format for the audience and stage

A highlight reel and an instructional recap are not interchangeable. The first conveys atmosphere; the second should make the learning clear enough to help someone who did not attend. Cvent’s guide distinguishes those purposes and recommends adapting edits for different destinations.

Before the event: explain and invite

  1. Set the action and audience. Decide whether the clip should drive event-page visits, registrations, meeting bookings, or views of an educational preview. Identify the people it is for.
  2. Write a focused outline. State who should attend, what they will learn, and why the topic is useful. For a speaker preview, use a specific session idea rather than generic promises.
  3. Use representative footage. If you include scenes from a previous event, make sure they accurately represent what the upcoming event will be like.
  4. Put the video near the next step. Embed or link it on the event page, and use it in relevant email or social posts. Keep the registration action visible beside it.
  5. Make educational previews genuinely useful. Show a short demonstration, lesson, or speaker insight. Do not disguise an extended sales message as instruction.
  6. Adapt the edit to its destination. Prepare channel-appropriate versions rather than assuming one crop and length will fit every placement. Check the current requirements of each publishing platform before posting.

Cvent recommends teaser videos in paid promotion and speaker or session previews in email. Zoho Backstage recommends video on the event landing page and a video thumbnail in email. These are vendor recommendations, not evidence that the same placement will produce a particular conversion result for every event.

During the event: capture lessons and proof

  1. Make a capture plan before doors open. Specify which sessions are being recorded, who will conduct interviews, where permissions are documented, and who can approve clips for rapid publication.
  2. Prioritize what will be useful later. Capture clear explanations, concise lessons, and attendee perspectives. Record the context needed for a clip to make sense outside the room.
  3. Record with reuse in mind. Frame footage so it can be adapted to the aspect ratios you expect to use, and capture clean audio. A microphone may help with interviews, but choose equipment only after confirming compatibility with the camera or phone and the venue setup.
  4. Match ambition to capacity and rights. Do not record every session by default if you lack permission, staff, or post-production capacity to handle the footage.
  5. Set a review route. Confirm who can approve clips and check factual context, permissions, and sensitive material before quick-turn publication.

After the event: teach, recap, and reuse

  1. Organize on-demand sessions. Publish full recordings or edited educational segments in a library. Add captions and topic labels so people can find material relevant to them.
  2. Make a learning recap. Summarize key takeaways, include relevant speaker comments, and link to the corresponding sessions. Keep this separate from a mood-focused highlight reel.
  3. Create targeted clips. Extract lessons from keynotes or sessions and edit versions for their intended channels. Give each one a clear next action, such as watching the full session or registering for the next event.
  4. Reuse with permission. Put appropriate clips in follow-up email, sales enablement, sponsor communications, and future event promotion where the necessary rights allow it.
  5. Keep the destination current. Point clips to the correct session, event page, or next-event information, and check that links still work.

Cvent recommends adapting session recordings for different channels, while Zoho Backstage emphasizes distribution as the step that gives recorded content continuing value. Choose distribution based on where your audience can take the intended next step.

Plan distribution and measure the intended result

Choose one primary outcome for each video before production. A registration teaser might be judged by registration-page visits and completed registrations; an on-demand lesson might be judged by session views, completion, or a qualified follow-up action. Views and engagement can help diagnose performance, but they are not substitutes for the action the video was designed to support.

  • Track destination clicks and attendee actions alongside reach and engagement.
  • When several campaign elements run together, do not attribute the result to video alone without evidence that isolates its effect.

Published examples show why attribution matters. Eventbrite UK reported that VHR’s “Inside The Red Arrows” event received 1,342 views on its Eventbrite page and sold 114 tickets; it also reported 19,875 LinkedIn impressions and 94 clicks. These are historical figures from one company’s account, not proof that video caused the ticket sales. In a September 1, 2026 case study, Performance Digital reported more than 119,000 impressions, 3,316 Meta website clicks, and a 9.99% Meta website click-through rate for the multi-channel Boomstock campaign; it attributed 3,309 of those Meta website clicks to its primary video ad. The campaign also used static ads, display, and connected TV, so the overall figures do not isolate video’s independent effect.

Handle permissions and platform changes

Agree on recording and publishing permissions before filming speakers or attendees, and document releases through the event’s chosen process. Check that you have rights to music, slides, footage, and other material included in the edit. A person appearing in a clip or a session being recorded does not, by itself, establish permission to publish it.

Social formats and platform specifications change. Verify current aspect ratios, duration limits, captions, and publishing requirements on the destination platform rather than relying on older campaign examples. Eventbrite UK’s 2019 article is useful as a historical case, not as a guide to current channel specifications.

What the available examples can—and cannot—tell you

The case figures above are examples, not benchmarks to forecast your results. Cvent’s 2025 guide describes its own event capture practices; Eventbrite UK’s 2019 report attributes figures to VHR; and Performance Digital’s 2026 account covers a multi-channel campaign. None establishes a controlled, general estimate of how much instructional video increases event attendance or registrations. Set a baseline and evaluate your own campaign against its stated objective.
