The right software for a press conference depends on whether you need audience questions, a polished camera-and-switcher production, or simply a broadcast to viewers. Zoom can stream a meeting or webinar to YouTube or a supported custom destination; some Zoom Events and Zoom Webinars Plus setups can instead receive an encoder’s RTMP feed. These routes have different eligibility rules and interaction limits, so confirm the account requirements and test the full program before event day.
Choose the broadcast workflow around the event
Start with the press conference’s audience and production needs, then select the route. Zoom’s production broadcast configuration is one-way: it does not provide two-way communication through those settings. If reporters must ask questions, plan how they will do so separately or choose an event format that supports the interaction you need.

Questions, comments, and return audio
Decide where questions will be taken before choosing a one-way broadcast path. Options include a separate call for journalists, a moderator-managed question channel, or a host who brings selected questions into the event. YouTube viewers can comment on YouTube during Zoom’s documented webinar livestream workflow, but those comments do not make them direct participants in the webinar.
Destination, eligibility, and resilience
- Confirm that the destination supports the incoming live stream and that the Zoom account, host license, administrator settings, desktop application, and platform activation satisfy the relevant requirements.
- Allow for latency. Zoom documents an approximate 20-second delay for its Zoom-to-YouTube workflow; do not assume that figure applies to other routes.
- For incoming RTMP, Zoom recommends wired connectivity where possible, a pre-event test, and a backup connection or method. It also cautions against running the encoder on the same device used to connect to the webinar.
Set up Zoom streaming to YouTube or a custom destination
Before event day
- Check access and enable the feature. Verify the current Zoom account and host requirements for the meeting or webinar route you intend to use, and ask the administrator to enable the relevant livestream option if needed. For YouTube, enable livestreaming on the YouTube account and confirm it is eligible under Zoom’s stated conditions. Feature names and account requirements can change; check Zoom’s YouTube guide or custom livestreaming guide close to the event.
- Prepare the destination. For a custom destination, obtain its streaming URL and stream key, and set the public page URL in Zoom’s livestream configuration. Treat the key as a credential: limit access to the production team and replace it if it is exposed.
- Plan press participation. Decide who will monitor questions, how a journalist can be recognized, and how the host will receive or introduce questions if viewers are not attendees.
- Run a full rehearsal. Start the stream through the intended Zoom route, check the public destination, listen for clean audio, and test the exact handoffs, slides, captions, and question procedure planned for the event.
During the conference
- Have a producer monitor the destination and a separate person watch the room or question channel when staffing allows.
- Keep a backup connection or alternate broadcast method available for an encoder-based production.
- Tell speakers and the moderator that the public stream may lag behind the Zoom event, particularly on the Zoom-to-YouTube route.
Build a camera or switcher production with an encoder
Match the capture chain
Trace the signal from camera to audience: camera or switcher output, capture interface, production computer, encoder, then Zoom or the public streaming destination. Zoom’s example production setup uses HDMI or SDI capture devices, a streaming computer, and a monitoring computer with headphones. Those are examples; choose a capture interface that matches the actual source output and production gear. Do not buy an HDMI device for an SDI-only source.

Check that the computer can encode the chosen resolution, frame rate, scenes, and audio sources. OBS’s published system requirements page warns that meeting its operating-system and graphics compatibility requirements does not guarantee adequate performance for a particular stream; CPU demand varies with encoder, resolution, frame rate, and scene complexity. Its page is dated 2021-08-25, so check it and your chosen software’s current requirements before production: OBS system requirements.
Set encoder output deliberately
For an encoder feeding YouTube, YouTube’s guidance lists RTMP or RTMPS transport, H.264 video, constant bitrate encoding, and a recommended two-second keyframe interval. YouTube recommends RTMPS. Select the bitrate from YouTube’s current table for the resolution and frame rate you will send rather than reusing an old preset; the appropriate value depends on those choices. Test with movement and audio similar to the real conference and monitor YouTube’s stream health during the rehearsal. See YouTube’s encoder settings guidance.

If sending an encoder’s RTMP feed into Zoom Events or Zoom Webinars Plus, verify the feature’s eligibility and current limits. Zoom lists support up to 1920×1080 at 30 fps for the described incoming RTMP feature. It recommends wired internet where possible, a pre-event test, and a backup connection or method; avoid running the encoder on the same device used to join the webinar. These limits and recommendations apply to the specific Zoom configuration, not every Zoom livestream.
Monitor the whole signal, not just the software preview
- Listen on headphones for clipping, room echo, missing microphones, and changes in level between speakers.
- Check the public output on a separate device and network when possible, rather than relying only on the encoder’s local preview.
- Watch for dropped frames, encoder overload, unstable connectivity, or destination warnings. Reduce scene complexity or output settings only after identifying the bottleneck.
- Test camera movement, speaker handoffs, slides, lower thirds, and any remote contributions as they will occur live.
Common problems and practical fixes

Copyright, permissions, and platform rules
Before streaming, clear rights for all material in the program, including music, video clips, photographs, and recorded opening or holding content. Ownership of a press conference does not automatically grant permission to use third-party media embedded in it. Confirm that speakers and guests may be recorded and broadcast, and follow the destination platform’s current live-streaming and copyright policies. Avoid assuming that brief use or attribution alone makes copyrighted material safe.
