Managing a video edit with a team takes two coordinated systems: a shared project workflow and reliable access to the media. Project collaboration tools do not automatically give every editor the footage. Assign responsibilities, agree on file and version conventions, choose how originals or proxies will be shared, and establish who consolidates feedback and approves the final cut before editing begins.
How do you collaborate on video editing with a team?
Start by deciding who owns each decision and handoff, then organize the media and project so collaborators can work without guessing. A practical workflow has six parts:
- Assign roles: name the producer or project lead, editor(s), assistant editor or media manager if applicable, reviewers, and final approver.
- Plan media access: decide where camera originals, audio, graphics, music, and proxies will live and how each editor will receive or access them. Test linking on each workstation before deadlines.
- Choose the project model: decide whether editors will work in one shared project, on separately owned sections, or through a combination of editing and review tools.
- Set conventions: agree on folder and bin structure, filenames, version labels, ownership, handoffs, and review deadlines.
- Run structured reviews: request timestamped notes on a named version, assign one person to reconcile feedback, and record approval explicitly.
- Protect delivery and closeout: identify the authoritative project, approved master, linked assets, and next owner at each handoff; retain the files required by the team’s policy.
For a larger team, divide work into bins, sequences, or project files and assign ownership rather than relying on informal messages. Locking features can reduce collisions, but they do not decide who has authority to make creative or delivery decisions.
How should a team share video files with remote editors?
Project access and media access are separate. Adobe says every Premiere Team Projects collaborator needs access to the same media; sharing the project alone does not supply its source footage. Create a consistent structure for camera originals, audio, graphics, music, project files, proxies, exports, and approved masters. Keep an inventory and document how files move between locations. Before editing starts, open the project on each editor’s workstation and confirm that files link correctly. Test across operating systems or different workstation setups, and agree who will resolve missing-media or relinking problems.
A shared or cloud-hosted media location may suit simultaneous remote access; a drive may suit transfer or local handling. A standalone drive does not itself provide simultaneous shared access. Choose based on media volume, network reliability, permissions, and the team’s working arrangement. When proxies help
Proxies can make it easier to distribute footage to remote collaborators when camera originals are large. Decide who generates them, where they are stored, and how the finishing editor will relink or conform the project to the correct originals. In DaVinci Resolve’s cloud project setup, Blackmagic documents choices to sync no media, proxies only, or proxies and originals. Which collaboration model should you choose?
Choose according to the editing application, team size, concurrency needs, media location, network reliability, permissions, and whether collaborators need to edit at the same time. The following describes the documented patterns, not a comparative performance test.

How do you collect useful, timestamped feedback?
Send reviewers a named version and ask them to comment at the relevant moment rather than sending disconnected notes. Track each request as accepted, deferred, or rejected, give one person responsibility for resolving conflicting directions, and record who has final approval.

Adobe documents a Frame.io workflow with timestamped comments, annotations that can be imported as timeline markers, and access to prior versions. Its Frame.io for Creative Cloud page describes included service for eligible customers, listing support for two users, five projects, unlimited reviewers, and 100 GB of dedicated storage. What should the team agree on before editing starts?
- Roles and authority: who maintains the project structure, manages media and proxies, makes editorial decisions, consolidates notes, and approves the final cut.
- Names and organization: folder, bin, sequence, and file naming; version labels; and where exports belong.
- Media ownership and access: where originals and proxies live, who can access them, how they are transferred, and who handles relinking.
- Concurrency and handoffs: which sections are assigned to whom, when locking or separate project files are used, and what must be included when work changes hands.
- Review rules: the review tool, note format, deadline, decision owner, and how approval is recorded.
- Delivery and retention: required master format and assets, where the authoritative project is stored, and what the team retains under its own policy.
Use permissions appropriate to the team and client: establish who can edit, review, download, or invite others. For larger teams, explicitly assign project parts rather than assuming that access to a shared workspace settles responsibility.
How do you protect handoffs and project closeout?
At every handoff, identify the authoritative project and latest approved version, media and proxy locations, required fonts, plugins, or linked assets, and the person responsible for the next action. At delivery, retain the approved master and the project files and assets required by the team’s retention policy.
Maintain redundant backups appropriate to the project’s value and the team’s storage capacity. The right backup arrangement depends on the production; the cited product guidance does not establish a universal configuration. Verify that the handoff recipient can open the project and locate its required media rather than assuming a copied project file is complete.
