Decide what viewers should understand or do, choose a format that serves that purpose, plan production and distribution, then measure results against the goal and use what you learn to improve the next video.
1. Choose the business result the video should support
Start by naming one primary objective. Your video may also help with other goals, but a clear priority makes it easier to choose the story, channel, call to action, and success measures. HubSpot Academy includes goal-setting and format selection in its Video Marketing Course.
- Awareness: Help more of the right people discover your business or understand what it offers.
- Understanding: Explain a product, service, process, or idea that is difficult to communicate in text alone.
- Trust: Give prospective customers evidence and context that help them assess your business.
- Response: Encourage a defined action, such as requesting information, booking a call, or making a purchase.
- Customer support: Answer a recurring question or show existing customers how to complete a task.
Write the objective as an outcome rather than an output quota. “Publish four videos” describes activity; “help prospective customers understand how onboarding works” describes a job the video can do.
2. Define the audience and the question they need answered
Describe the viewers you want to reach and the situation they are in. Consider what they already know, what they are trying to decide or do, what might hold them back, and what they should do next. Wyzowl’s 2026 video marketing strategy guide recommends examining audience needs, preferences, pain points, interests, motivations, and language. Surveys, social polls, and focus groups are possible ways to learn those things.

Turn that audience insight into a focused brief. A practical brief can fit on one page:
- Audience: Who is the intended viewer, and what is their context?
- Question: What problem, doubt, or decision should this video address?
- Takeaway: What should the viewer understand by the end?
- Next step: What action, if any, should the viewer take?
- Primary objective: What business result is this video intended to support?
Use the audience’s own terms where possible. A video built around a real question is more likely to stay focused than one that tries to describe everything the business does.
3. Match the video format to the job
Choose a format after deciding what the viewer needs and what outcome matters. These are useful starting points, not guaranteed performance formulas; the best choice also depends on what your team can make well and where the intended audience will encounter it.
Rank #2
| Format | Useful when the audience needs to… | Possible objective | Practical consideration |
|---|---|---|---|
| Short social or advertising video | Notice an offer or get a quick introduction | Awareness or reach | Keep the central idea easy to grasp quickly and check the destination’s format requirements. |
| Customer testimonial | Hear another customer’s experience | Trust or credibility | Plan consent, interview questions, and a truthful account of the customer’s experience. |
| Explainer | Understand a product, service, or process | Understanding or consideration | Choose one question to answer rather than turning the video into a broad company overview. |
| Product demonstration | See how an offer works | Understanding or support for a sales decision | Show the relevant task or use case and make the next step clear. |
Wyzowl’s guide suggests social or advertising videos for awareness and testimonials for trust, and discusses explainers and product demonstrations as ways to communicate an offer or process. Its 2026 guide reports that 63% of people in the survey said they would prefer a short video when learning about a product or service. That is a survey finding, not proof that every audience or subject is best served by a short video.

Set the owner, budget, schedule, and approval path before filming. Then outline the story: what the opening establishes, what information or evidence the viewer needs, and how the video ends. Identify the visuals, locations, people, permissions, and production support required. For live-action work, a shot list and filming schedule help clarify what must be captured.
Start with the equipment you have
An existing smartphone can be a low-cost way to begin. A camera, lighting, and audio equipment are optional improvements, not prerequisites; choose them to solve a real limitation in the footage. For example, a smartphone lavalier microphone may be useful for an interview or direct-to-camera recording when clear voice capture is a problem. The format and environment matter more than buying a full setup in advance.

Decide who will make the video
In-house production may suit a team with the time and skills for the planned work. Outsourcing some or all of production may make sense when the video requires expertise, time, or capacity the team does not have. Compare internal skills and availability, complexity, budget, timeline, and the need for specialist work such as editing or voiceover. HubSpot Academy covers both in-house and outsourced production; there is no universal budget threshold that makes one route right for every business.
5. Plan distribution before filming
Choose where the intended audience can find the video and how it will be presented. Potential destinations include a business website, email, blog, social channels, and video-sharing platforms such as YouTube or Vimeo. Select them according to audience habits, the goal, format requirements, and your team’s capacity—not simply because a channel is available.
Do these 3 things before closing this tab:

A product demonstration embedded on a relevant service page has a different role from a short social introduction. Distribution planning also helps you capture the right versions and assets during production.

When paid YouTube promotion is part of the plan
Google Ads describes a full-funnel approach to YouTube campaigns: awareness and reach, consideration and views, and action or conversions. Paid media is an option, not a requirement for every business. Google’s Reach Planner documentation cautions that forecasts do not guarantee performance; actual results can vary with factors including ad quality and implementation. Treat a forecast as a planning input, not a promised outcome.
When a 24/7 YouTube video stream fits
If your distribution plan includes continuous prerecorded programming on YouTube—for example, a scheduled documentary or educational-video loop—StreamNeo is one option for keeping that stream running from uploaded videos. It is a cloud service for YouTube: upload a recording or build a playlist, add your YouTube stream key once, and go live. The cloud handles the looping, so your computer and home connection do not have to stay on. This is a specific distribution format, not a substitute for deciding whether continuous programming suits your audience and objective.
Each slot includes one always-on stream, 10 GB of storage per slot pooled across active slots, playlists and 24/7 looping, automatic recovery if YouTube drops the stream, and support from the StreamNeo team. Uploaded video streams as made, up to 4K 60fps, with no re-encode and no quality tiers. The first day is free with no card, one free day per account. Billing terms range from a day to a year and can be cancelled any time; UPI and cards are accepted in India, while card checkout is available worldwide. For five or more slots, contact support. See StreamNeo for details.

Pick measures that correspond to the objective, and decide where you will get them before the video goes live. A large view count on its own does not show whether the intended audience understood the offer or took the desired action.
| Objective | Measures to consider | What they can help you assess |
|---|---|---|
| Awareness | Views or reach | Whether the video was encountered by people. |
| Engagement or explanation | Watch time | How long people watched; interpret it alongside the video’s length and purpose. |
| Sharing | Shares | Whether viewers passed the video along. |
| Response | Click-throughs and conversions | Whether viewers followed the link or completed the intended action. |
Wyzowl lists views, watch time, shares, click-throughs, and conversions among useful video measures. HubSpot Academy’s reporting curriculum emphasizes defining metrics and using data to inform next steps. Review the chosen measures against the original goal, then adjust future topics, formats, calls to action, or channel choices based on what the results show.
7. Turn the plan into a repeatable cycle
- Set the objective: Choose the primary business result.
- Understand the audience: Identify the question, context, and obstacle the video should address.
- Select the format: Match the story to the audience need and objective.
- Scope the work: Assign an owner, budget, schedule, approvals, and production approach.
- Plan distribution: Choose destinations and the viewer’s next step before recording.
- Define measurement: Select objective-linked metrics and where you will track them.
- Review and improve: Use the results to make a specific change to the next video.
Or let it run in the cloud. For a continuous prerecorded YouTube stream, StreamNeo’s three steps are upload a video or build a playlist, add your YouTube stream key, and go live.
