Create a webinar run of show by turning the attendee-facing agenda into a shared production schedule: give every segment a time, owner, cue, technical action, and fallback. A run of show is more than a public list of topics—it helps hosts, speakers, moderators, and producers know what happens next and who makes it happen.
What a webinar run of show should do
Vimeo describes a run of show as a schedule, typically formatted as a spreadsheet, that serves as a shared planning and execution reference. The practical distinction is that an agenda tells attendees what is planned; a run of show tells the team how to deliver it, including timing, handoffs, production cues, and operational details. A spreadsheet is common, but any shared format the crew can use reliably is suitable.
Build it for the people executing the event. Each row should represent a meaningful segment or operational change, not every sentence someone will say. The plan is a coordination aid, not a guarantee that a live event will finish exactly on time.
What to include in the document
Start with these columns, adding fields only when they help someone do the work:

- Order: A sequence number or short label for quick reference.
- Planned start and duration: Use the event’s local time zone and the duration the team has agreed to. Add an end time if it helps operators follow the schedule.
- Segment or activity: Name the moment, such as room open, welcome, presentation, Q&A, or close.
- Owner and active speaker: Identify who is responsible for the row and who is on mic or on screen.
- Cue or handoff: State what triggers the transition, who gives the cue, and who takes over.
- Production action and assets: Specify the relevant microphone, camera, slide, video, or audience-interaction action, and identify the asset to use.
- Notes or fallback: Include a practical response to a likely delay or technical issue.
Keep labels consistent and instructions concise enough to scan during the event. For example, “Producer gives ready cue; host introduces speaker; show Slide 3” is more actionable than a vague note such as “transition.”
How to build the run of show
- Start from the audience agenda. Decide the intended sequence and experience, including any room-opening activity and the handoff to follow-up. Adapt the sequence to the event; there is no universal webinar duration or required agenda.
- Put each segment or operational moment on its own row. Give it a short, recognizable label. A change in speaker, asset, or production setup may deserve its own row even if it is not an audience-facing segment.
- Set realistic times and durations. Include small buffers around major transitions and audience-dependent portions such as questions or discussion. Those portions can vary, so decide in advance what may be shortened to preserve the close.
- Assign owners and active speakers. Name a person for each responsibility rather than assuming someone will notice it. Make the handoff explicit: who cues the change, who speaks next, and who handles the production action.
- Record cues, equipment, and assets. Note the microphone, camera, slide, video, or interaction channel needed for each segment. Assign someone to prepare and check each item.
- Choose a few practical fallbacks. For likely delays or glitches, note options such as trimming a segment, prioritizing questions, or switching to an available backup. Planning every imaginable contingency can make the document harder to use.
- Review it with the people who will use it. Ask the host, speakers, moderator, and production staff whether the fields and cues are clear for their roles. Standardize labels, share the final copy, and make sure the team knows where to find it.
- Rehearse with the actual plan and assets. Walk the production crew through cues, transitions, and materials first. When the flow fits the allotted time, rehearse with the participants, then update the schedule to reflect what the walkthrough reveals.

This is a structure to adapt, not a prescribed agenda or timing plan. Replace the relative times, owners, assets, and fallback actions with details confirmed for your event.

Prepare speakers, crew, and assets
Before the event, confirm responsibilities and practical requirements with the people involved. IFLA’s checklist advises organizers to agree on speaker and moderator roles and give speakers guidance about content, available time, connection type, and software. It is an older checklist, so use it as general coordination guidance rather than current instructions for a particular webinar platform.
- Confirm who hosts, moderates, presents, gives time cues, and handles production.
- Tell speakers their allotted time and how transitions will work.
- List every required asset and equipment item against the segment that uses it.
- Assign someone to prepare and verify each item before the show.
- Rehearse the real slides, videos, cues, and handoffs—not just the spoken outline.
Use the format your team can follow
A spreadsheet is useful when the crew needs to scan rows, adjust timing, and share a common schedule. A shared document or event-production tool can also work if collaborators can find the latest version and see the cues they need. Choose based on ease of revision, visibility to the team, cue detail, and fit with the production workflow; no one format is required.
