Use the checklist below to make the session clear, interactive, and dependable.
Choose a format that serves the learning goal
Start with what attendees should be able to understand or do afterward. Cochrane’s 2020 guidance describes a webinar as a good fit for a presentation with Q&A or polls when extensive hands-on learning is not essential. A virtual workshop is a better fit when participants need small-group discussion or practical, interactive work. The choice affects the agenda, platform functions, staffing, and likely session length.

Choose a platform by checking the functions your format requires: registration and administration, presenter-attendee interaction, chat or Q&A, polls, recording and archiving, accessibility, and compatibility with the presenters’ production setup. Confirm the audience capacity on the actual license you plan to use before advertising a registration limit; platform capacity can depend on the plan. The available guidance does not establish a universally best platform or current cross-vendor pricing.
Plan the event and make registration easy
- Set the essentials early. Confirm the topic, date, time zone, format, presenter lineup, and who owns each responsibility.
- Prepare the event materials. Ask presenters for a concise description and biography, slides, and any polls or audience activities they plan to use.
- Open registration with promotion time in mind. Cochrane’s 2020 guidance recommends opening registration at least 6–8 weeks before the session. This is a planning recommendation, not a universal requirement; adjust it to your audience and promotion schedule.
- Promote through relevant channels. Make the learning objective, session format, date, time zone, and participation instructions clear wherever you share the invitation.
- Remind registrants. Cochrane recommends sending a reminder the day before. Include the joining details and any instructions attendees need to participate.
Assign roles before the rehearsal
Do not make the presenter responsible for every operational task while speaking. Microsoft’s event guidance recommends having more than one person in the event group and assigning responsibilities. For a small webinar, one person may cover multiple roles, but there should be a clear owner for each task and a backup who can step in.

- Presenter: Delivers the material and responds to the content, rather than troubleshooting every production issue.
- Moderator: Welcomes attendees, explains how to ask questions, monitors chat or Q&A, and surfaces questions at the right time.
- Technical operator: Manages the event controls, slides or media, and transitions; watches for problems that would distract the presenter.
- Backup: Knows the event flow and how the team will communicate if a presenter, connection, or production control fails.
Agree on a private, reliable way for the team to communicate during the event. Decide who can interrupt the presenter, what signal to use, and how the team will handle a dropped connection or a delayed segment.
Rehearse the entire event, not just the platform
A successful rehearsal follows the same sequence attendees will experience. Microsoft recommends several rehearsals for its live-event workflow and emphasizes practice; its general event guidance also recommends rehearsing transitions and testing in-room and online audio separately. These are useful production principles, not a requirement to use a particular Microsoft product. The Teams live event experience retired on June 30, 2026, according to Microsoft Support; do not rely on old setup instructions for that experience. Check current Microsoft webinar or town hall documentation and your tenant’s availability before choosing a Microsoft workflow.

- Join as each role. Have presenters, moderator, and technical operator enter using the devices and connections they expect to use on event day.
- Test the audio path. Check each presenter’s speech from the attendee perspective, including any room microphone or remote participant. Verify that playback, screen sharing, and transitions do not unexpectedly mute or obscure speech.
- Check the picture. Frame the presenter comfortably, ensure the face is lit and visible, and remove distracting background details where practical.
- Run every transition. Practice introductions, slide handoffs, video or audio playback, polls, Q&A, and closing remarks in order.
- Test audience participation. Confirm how attendees will submit questions and answer polls, and ensure the moderator can see and manage them.
- Test the recovery plan. Confirm the backup internet option, such as a mobile hotspot, and decide how the team will tell attendees what is happening if the main connection fails.
Prioritize clear audio and a visible presenter
Attendees may listen while doing other tasks, so intelligible speech matters more than elaborate production. Test the actual room and microphone rather than assuming the laptop’s built-in audio will work well. A microphone or headset can help, but the right choice depends on the room, equipment, and presenter; a branded or specialized device is not a universal requirement.
Check that the presenter is well lit and framed at a comfortable distance. Microsoft’s presenter guidance suggests an external microphone and notes that frequent presenters may consider a stand-alone LED light. Treat these as optional ways to improve a recurring setup, not prerequisites for hosting a useful session.

Keep the session active and manageable
Tell attendees at the start how to participate: where to post questions, whether questions will be answered during the presentation or at the end, and how polls or activities will work. A moderator can keep questions from getting lost while the presenter focuses on delivery.
Cochrane’s 2020 guidance recommends avoiding presentation stretches longer than 15–20 minutes without interaction. Break up a long talk with a poll, a short Q&A, or another activity suited to the format. Use interaction to advance the learning goal rather than adding an activity that does not help attendees.

Decide recording and follow-up details in advance
Before the event, decide whether it will be recorded, whether attendees will receive a replay, and where the recording or other materials will be archived. Cochrane identifies later viewing and future-proof archiving as planning considerations. Check the platform’s current recording controls, permissions, storage, and access settings before the session.
Tell attendees about recording in advance and follow the organizer’s applicable policy and jurisdiction. The guidance does not establish one universal consent or retention rule. After the session, share the promised materials through the access method you selected and ensure the archive remains usable for the intended audience.
