For an HR update, all-hands, employee Q&A, or policy briefing, choose the event format by asking two questions first: how many people need to attend, and how much two-way participation do they need? A smaller, interactive event suits discussion; a large broadcast can reach more employees but may limit attendee microphones and cameras. In Microsoft Teams, available formats and controls depend on event configuration, tenant policy, and licensing.
Start with the communication job
Decide what employees should know or be able to do after the event. Keep the central message to one or two points, then choose a format that supports the audience’s needs rather than defaulting to a broadcast.
- Leadership update: A broadcast-style town hall can put a consistent message in front of a large workforce. Plan a moderated channel for questions if employees should contribute.
- Employee Q&A: Choose a setup that lets employees submit questions and makes clear whether they can speak, use cameras, or participate through moderated Q&A.
- Benefits or policy briefing: Consider whether employees need live discussion or whether a structured presentation plus questions and a later recording will serve them better.
- All-hands: Match the format to the expected headcount and desired interaction; “all-hands” describes the audience, not one specific technical format.
A live stream is a delivery method, not proof of improved engagement, retention, or productivity. The available platform analytics can help organizers understand attendance and activity, but they do not establish those business outcomes.
Choose an event format by audience and participation
In Teams, the unified event experience supports different configurations. Microsoft says the choice affects attendee interaction: in an optimized large-audience event, attendees cannot turn on microphones and cameras on demand; with optimization off, microphone, camera, and interactive chat may be available. Actual features depend on policy and configuration. Confirm them with your Teams administrator before inviting employees.

These are product limits in Microsoft’s documentation, not recommendations or guarantees that a particular configuration is available to every organization. Check current licensing, administrator policies, and regional availability. Microsoft says customers in China currently cannot create events optimized for large audiences; its documentation describes conditions under which they may join events hosted outside a China tenant. Check Teams’ current event status
As of October 3, 2026, Microsoft says Teams Live Events retired on June 30, 2026. Events scheduled before that retirement date are supported through February 28, 2027. Microsoft directs organizers to the unified Teams Events experience, which became available in the Teams Meet app on April 1, 2026. Existing webinar and town hall policies still apply; organizers can create events from scratch or use templates when policy allows. Because features and licensing can change, check the current documentation and your tenant settings during planning.

Microsoft’s town hall page marks some capabilities as available and others as in development. Do not promise an in-development feature to employees; verify the current status for your tenant and event. The product guidance describes recordings, engagement reports, eCDN support, and live translated captions among capabilities, but availability is configuration- and license-dependent. Plan the production before invitations go out
Set the audience, access, and ownership
- Confirm the audience: Decide whether the event is for employees only or should be public. Microsoft documents organization-only and public event options, subject to tenant controls.
- Ask the administrator to verify settings: Check event policies, capacity, licensing, access controls, recording permissions, and distribution requirements against company policy.
- Name accountable roles: Assign an organizer or producer, presenters, a Q&A moderator, and an IT support contact. Higher-profile events may require a dedicated event team; Microsoft’s playbook organizes production around roles.
- Prepare the run of show: List segments, speakers, transitions, opening and closing, and who handles questions. Prepare presentation assets and a contingency contact.
- Rehearse: Test presenter handoffs, audio and video, slides, moderation, and the chosen audience experience. Microsoft recommends planning and rehearsal for virtual events, particularly higher-profile productions.
Microsoft’s Virtual Event Playbook emphasizes message clarity, attendee experience, accessible and inclusive production, and preparation. Its guidance includes the statement: “We strive to prioritize accessibility, inclusion, and engagement as we create the new standard for the audience experience.”

Decide what happens to questions and the recording
Before the event, agree who can submit questions, who moderates them, what can be answered live, and how unanswered questions will receive follow-up. Separately decide whether a recording will be made available, who can access it, and which caption, transcript, or translation options are enabled. Verify tenant settings and retention requirements; Microsoft’s feature descriptions are not a universal HR retention policy.
Choose equipment for the production you actually need
Every event does not require a capture device or a separate production system. Teams can produce an event, and Microsoft also describes production using an external app or device, including a hardware or software encoder. A narrower hybrid workflow is to bring a professional external production feed into an event produced in Teams using an HDMI capture device. Consider a capture device only if your planned setup needs that external feed, and check compatibility with your devices and platform configuration first. Microsoft documents this use case in its guidance on Teams live events for tier-one events; it does not establish a preferred brand or model.

For a large internal audience, an enterprise content delivery network (eCDN) may help distribute video within the organization and reduce network impact. Microsoft’s cited Live Events documentation names its first-party eCDN and Hive, Kollective, and Ramp as third-party certified partners. That documentation concerns the retired Live Events platform, so confirm compatibility with the unified Teams Events experience and each provider before choosing a service.

During the broadcast
- Keep a producer responsible for what is live and, where staffing permits, a moderator focused on audience questions.
- Explain at the start how employees can submit questions and whether they should expect answers live or afterward.
- Monitor attendance and available viewer-experience indicators using the tools enabled for organizers. Microsoft describes event analytics and reports, but their availability depends on event and license.
- Use a contingency contact and the rehearsed run of show if a speaker, handoff, or technical element fails.
Microsoft’s 2019 employee town hall case study described a recurring leadership forum as “a fully virtual, two-way communication channel between our employees and senior leadership team.” It is an example of a program design, not evidence that a live stream by itself improves employee outcomes. - Publish the recording or follow-up only to the intended audience.
- Check captions and transcripts for errors before treating machine-generated text as an authoritative HR record.
- Share answers to unanswered questions and assign owners for any promised follow-up.
- Use attendance and question activity as operational feedback, not as proof that the event changed engagement or business results.
